We are a small, family-oriented estate planning law firm seeking a friendly, organized, and motivated Intake Specialist. This position is responsible for managing prospective clients from their first contact with the firm through the scheduling of a consultation. The ideal candidate is comfortable with both client service and inside sales. This person must be able to build trust, explain the value of our services, address concerns, and confidently guide qualified prospective clients toward scheduling an appointment. No legal experience is required. Training will be provided.

Responsibilities

• Scheduling and maintaining calendars
• Answer incoming calls, emails, texts, and website inquiries from prospective clients
• Ask screening questions to understand each prospect’s needs and determine whether the firm is a good fit
• Explain the firm’s services, process, pricing, and value in a clear and persuasive manner
• Convert qualified inquiries into scheduled consultations
• Address common concerns and objections related to price, timing, and the need for legal services
• Follow up consistently with prospects who have not yet scheduled
• Reengage past leads and missed opportunities
• Track leads through each stage of the sales and intake process
• Maintain detailed notes, contact information, and follow-up tasks in the firm’s CRM
• Work toward goals for response time, appointments scheduled, appointment attendance, and lead conversion
• Schedule appointments and send confirmations, reminders, forms, and next-step instructions
• Provide general administrative and client support as needed (printing, mailing, filing, etc.)

• Comfortable being measured against sales and conversion goals
• Computer literacy and willingness to learn client management software
• Willingness/ability to quickly learn and understand existing day-to-day operations

Bonus Skills

• Inside sales or customer service experience
• Marketing, social media, or community outreach
• Canva, Adobe Illustrator, Photoshop, HTML, or CSS experience

This position is structured as a base salary with potential for performance-based bonuses. The firm also offers a 401k plan.
