Foreclosure Specialist Position Summary:
This Foreclosure Specialist position is responsible for ensuring smooth processing and effective case management by providing legal administrative assistant support for Judicial cases in OH, KY, and IN. They must communicate cross-functionally with clients, courts, and attorneys in a timely and professional manner. The ideal candidate is detail-oriented, has strong organizational skills, and a passion for delivering exceptional client service.


Foreclosure Specialist Job Responsibilities:
  • Draft and prepare legal documents for court filing, including pleadings, motions, and correspondence, with a focus on accuracy and compliance.
  • Effectively manage electronic filing of legal documents through state and federal court systems, ensuring timely and error-free submissions in accordance with court requirements.
  • Serve as a key point of contact for clients, courts, opposing counsel, and vendors; responding promptly to inquiries via email, phone, and voicemail.
  • Provide clear, accurate updates on case status and escalate complex matters as needed to achieve satisfactory outcomes for clients.
  • Serve as a liaison for process servers to coordinate services, monitor performance, and identify trends to ensure high-quality service delivery.
  • Maintain and update case files, track deadlines, and ensure the timely progression of cases through the legal process, including foreclosure and related proceedings.
  • Perform data entry, maintain case management systems, and ensure all documentation adheres to internal standard operating procedures and external regulatory requirements.
  • Perform all other duties as assigned by supervisor(s).
Required Qualifications and Skills:
  • High school diploma required; Associate's degree or higher preferred.
  • 1-3 years of legal assistant or paralegal experience required; 4+ years preferred.
  • Prior experience in default, foreclosure, or real estate law (plaintiff representation) preferred.
  • Strong written and verbal communication skills.
  • Strong organizational and time management skills.
  • Knowledge of Ohio court procedures and filing requirements.

This is a full-time, in-office position, Monday - Friday, 8:30 a.m. - 5:00 p.m., with an average of 40 hours per week. Overtime hours may become available and required based on business needs.
