DATE OF POSTING: August 17, 2026 CLOSING DATE : Open Until Filled POSITION TITLE : OFFICE ASSISTANT/Archive Specialist DEPARTMENT : Auditor’s Office REPORTS TO : County Auditor RATE OF PAY : Beginning Salary $19.89 per hour – Under Collective Bargaining BENEFITS : 3 Medical plan options, Dental, Vision, Pension, Deferred Compensation, 11 Holidays + 1 Floating Holiday, Vacation, and Sick leave. SUMMARY : Assists the Department Supervisor in the administrative functions for the department, primarily coordination of historical document preservation and archives records management. Performs complex senior level clerical and office duties to support efficient office operations in the department, requiring a comprehensive, detailed understanding of programs, procedures, and policies applicable to the department and County. ESSENTIAL FUNCTIONS (including But Not Limited To) Planning, organizing, oversight, and supervision of all historical document preservation and records management operations, both internally in the department and in assistance to other County departments. Implement and enforce state laws and regulations as they relate to historical document preservation and records management. Storing, arranging, indexing, and classifying records. Overseeing the management of electronic and/or paper-based information and identifying the most appropriate records management resources. Providing a policy framework to guide staff and other County departments in the management of their records and use of the County’s records systems, devising and ensuring the implementation of retention and disposal schedules, and ensuring compliance with relevant legislation and regulations. Advising staff internally and in other departments on the management of their records and information, including managing the changeover from paper to electronic records management systems. Assisting in the assignment, advising, supervising, and training of staff and temporary employees relating to the functions of historical document preservation and records management. Serving as liaison between the department, and other County departments as requested, with the Washington State Archives. Remaining current on legislation, legal requirements, and ordinances affecting departmental operations and assisting in advising departmental staff, temporary employees, and other County departments of any applicable changes in procedures to reflect revised legal requirements. Evaluating operating procedures, systems, and equipment recommending changes or implementation of new procedures and systems as needed; oversees implementation and trains staff in new system operations. Designs or revises forms and develops procedures as needed. Assisting in the development of training programs or conducts training for staff, temporary employees, and other County offices covering historical document preservation, records management, archives schedules, disaster preparation, business continuation plans, and delineation of all laws and regulations regarding historical documents and public records management. Access, input and retrieve information from multiple computer programs. General office procedures including; ten-key, data entry, operating calculator and other standard office machines, answer telephone, typing and filing. Strong verbal and written communication skills. Must be positive, helpful, knowledgeable and patient with all individuals whom you work with. Must maintain strict confidentiality and use exceptional judgment when dealing with sensitive materials Self directed operation and management of office work Responsibilities All other duties as assigned by Supervisor Cross-trained in other departments to assist on an as needed basis. Performs other related duties as assigned. KNOWLEDGE, SKILLS AND ABILITIES (including But Not Limited To) Knowledge of office management and supervisory techniques and practices. Knowledge of state, county and local governmental structure. Ability to interpret and apply archives records policies, procedures and legal requirements. Ability to assist in assignment, supervision and evaluation of the work of staff and temporary employees. Excellent oral communication skills to explain policies and procedures and to work effectively with other employees, agencies and the general public using courtesy, tact and good judgment. Ability to plan, organize, and assist in administration of historical document preservation and records managements and establish procedures and office systems. Ability to access, input and retrieve information from multiple computer programs. Ability to establish and maintain effective working relationships with employees and the general public. Ability to understand and carry out oral and /or written instructions and work independently Ability to handle stressful situations and maintain deadlines Ability to perform all tasks under strict time and efficiency requirements Ability to perform duties with responsibility for accuracy Ability to maintain harmonious relationships and cooperate with employees, elected officials, department heads, public, etc. Ability to lift 50+ pounds Ability to stand and/or sit for extended periods of time, reach, bend, stoop, squat, twist and pull and finger dexterity Physically perform the essential functions of the job Must have working knowledge of computer software, ie: Microsoft Word, Excel, Word Perfect Proficient knowledge and practice of grammatical construction in both speaking and writing Education And Experience Associate in Arts Degree in business or related field; or any combination of education and experience that would provide the applicant with the desired skills, knowledge and ability required to perform the job. Licenses, Certificates, And Other Requirements Valid driver’s license Prior to employment, employee must clear a criminal background check and pre-employment drug screening
