This position is responsible for handling front office reception and administrative duties including answering phones, greeting guests, addressing company inquiries, coordinate incoming and outgoing mail and other duties as needed to the highest quality standards. This position is responsible for handling front office reception and administrative duties including answering phones, greeting guests, addressing company inquiries, coordinate incoming and outgoing mail and other duties as needed to the highest quality standards. KEY RESPONSIBILITIES
- Answer, screen, and forward incoming phone calls.
- Answer inquiries about company.
- Serve as a backup to answer incoming calls for the Lafayette office as needed.
- Greet visitors warmly, make sure they are comfortable, and ensure they are connected with the person they are there to meet.
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Coordinate mail flow in and out of office, this includes US mail, Fed Ex and UPS.
- Collect and distribute parcels.
- Order supplies as needed.
- Receive, sort, and route incoming deliveries and courier shipments.
- Maintain cleanliness and organization of the kitchen throughout the day.
- Maintain cleanliness and meeting-ready condition of conference and meeting rooms before and after use.
- Order and maintain kitchen supplies and office fruit/refreshments.
- Support a positive office culture by helping coordinate employee engagement activities and maintaining a welcoming, professional front office environment.
- Coordinate scheduling and logistics for internal training meetings.
- Schedule and coordinate logistics for off-site meetings, including venue arrangements and materials.
- Coordinate meals and catering for meetings and groups as needed.
- Serve as the point of contact with building management for facility concerns, maintenance requests, and repairs.
Qualifications
- High School diploma (or equivalent) is required.
- 2+ year(s) experience as a Receptionist, Front Office Representative or similar role.
- Professional attitude.
- Solid written and verbal communication skills.
- Ability to be resourceful and proactive when issues arise.
- Excellent organizational skills.
