Job Description Job Summary: Reporting to the Class of 1955 Executive Director of PBHA, the Assistant Director of Operations andDevelopment will play a critical role in developing and overseeing donor management,communications, and alumni engagement systems to support the Executive Director, SeniorDevelopment Coordinator, and student officer efforts. The position will support projects related toPBHA’s 501C3 financial systems and data analysis in consultation with the Assistant Director ofFinancial Strategy for PBHA. The position will create systems and structures that build institutional memory, streamline transitions of staff and student leaders, and reduce administrative workload ofthe Executive Director in support of PBHA’s mission with a special focus on managing PBHAoperations and internal HR processes. The position will also supervise the Vehicles Coordinator and Operations Coordinator positions, fundraising and event consultants and coach events,alumni, and communications student officers, and support them in their areas of responsibility. Job-Specific Responsibilities: Core duties PBHA Development: Supports the Senior Development Coordinator and Executive Director in producing donorprofiles, identifying prospects, and drafting detailed reports Manages PBHA donor wealth screening IWave system and research data relevant to respective fundraising efforts Manage PBHA donor check deposit data fidelity and thank yous. Supports fundraising campaign strategy and volunteer management through providing key data and administrative support, manage PBHA Major Gifts data and strategy, includingstewardship. Manages donor dashboard and create models for fundraising goals. Support and projectmanage additional PBHA fundraising projects including Resource Development committeegoals as well as PBHA’s Summer Urban Program auction, alumni reunions, regional eventsand student director coaching as assigned. PBHA Organizational Operations (finance, admin, communications): Works with the Executive Director, staff and students to identify barriers to achieving workgoals and develop systems to increase efficiency and ease burden. Oversees strategic management and supervises tech support of related PBHA internalsoftware systems Collaborates with PBHA Financial Administrator on projects to improve systems likeQuickBooks. Manages PBHA hiring processes and supports the Assistant Director of Financial Strategywith Gusto payroll operations. Guides, develops and recommends communication strategies, policies and procedures toengage donors and stakeholders and keep them informed. Serves as PBHA administrative liaison to PBHA-A SIG Coaching and supervision: Manages Vehicles Coordinator and PBHA Operations Coordinator positions. Supervises consultants and directs coaching of 2 student officers annually withresponsibility for supporting communications, events, and alumni engagement. Qualifications Basic Qualifications: Bachelor's degree or equivalent work experience required Minimum of 5 years’ relevant work experience Additional Qualifications and Skills: Master's Degree strongly preferred Work within Public Service and/or with young adults Salesforce experience G suite experience Donor screening tools Additional Information The Phillips Brooks House Association (PBHA) is a Harvard student organization, a student-led, staff-supported, community service non-profit, and a part of the Harvard Center for Public Service department. Appointment End Date: Standard Hours/Schedule: 35 hours per week Compensation Range/Rate (including Shift Differential if applicable): Visa Sponsorship Information: Harvard University is unable to provide visa sponsorship for this position Pre-Employment Screening: Identity, Education,CORI Other Information: The work schedule and location will be set by the department at its discretion and based upon operational needs and objectives and consistent with College Policy, which requires 5 days on-site in Cambridge, MA during term time (first day of classes through commencement), with the exception of winter break in December, spring break in March, and the summer months when students are away from campus, where staff is expected be on campus two days a week. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University's Policy on Employment Outside of Massachusetts.
