Facilities Coordinator

Job Summary This position is responsible for facilities coordination at the assigned facilities – including, but not limited to: emergency call coordination, managing work order assignment and completion, providing customer follow-up, and running operations. The ideal candidate will efficiently coordinate third party vendors and work with both internal and external customers. Essential Duties & Responsibilities Coordinate day-to-day facility operations across assigned sites, overseeing work order management, vendor scheduling, service escalations, and performance tracking to meet account targets. Support both in-house and third-party technicians to ensure services are completed to quality standards and contractual requirements, including maintenance, landscaping, snow removal, and janitorial operations. Provide administrative and operational support to the EFS Operations Manager and Facilities Manager, maintaining accurate records, reports, and communication between vendors, internal teams, and customer partners. Supports work order operations as needed in areas such as: Vendor Dispatch Vendor Scheduling Service escalations Payment related questions Communicate/escalate with appropriate parties (Account Team & Vendors) as needed. Support overall account administrative tasks as assigned. Qualifications Education: HS Diploma, Under/Graduate Degree, etc. (Highschool Diploma with equivalent experience or Associate's degree (A. A.)) Business Experience: prior years work/related experience. 1-3 years of experience in a professional, fast‑paced environment. Licenses/Certifications: Valid driver’s license. Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. Technical Qualifications & Skills: Experience using a Commercial Maintenance Management System (CMMS) or Work Order Management process. Experience using Microsoft Excel and Microsoft Office programs. Experience with operations and maintenance for Corporate Commercial Space Industry is preferred. Ability to learn new computer programs and apply them to work requirements. Physical Demands While performing the duties of this job, the employee is frequently required to stand; walk; use hands to finger, handle, or feel; and talk or hear. The employee is occasionally required to sit; reach with hands and arms; climb or balance; and stoop, kneel, crouch, or crawl. The employee must regularly lift and/or move 50 pounds. Work Environment This position operates in an office environment. This role routinely uses standard office equipment such as phone, computer, photocopiers and filing cabinets.
