UW Medicine Human Resources has an outstanding opportunity for a full-time, Recruiting Coordinator.

About this Opportunity

Our Recruiting Coordinator works closely with 18+ recruiters and 3 recruiting coordinators in a fast-paced, full-cycle recruiting environment. This role is an integral partner in managing recruiting activities, building candidates relations, and often, providing candidates with their first impression of UW Medicine, Harborview Medical Center, and UW Medical Center. The Recruiting Coordinator will be responsible for opening job requisitions, candidate relationship management, screening of applicants, verifying licensure/credentials of applicants, scheduling of interviews, creating offer letters, generating recruitment reports, and coordinating the new hire pre-boarding process. The successful candidate must provide superior customer service to our job applicants, newly hired employees, as well as to our internal customers.

Key Responsibilities

Reference Checking 10% – Conduct reference checks for final candidates of a recruitment.

Applicant Tracking System & HRIS 15%– Update candidate records and job postings in recruiting systems, including applicant tracking system. Create new positions and requisitions in our Workday HR/Payroll system and ensure accuracy of data entry.

New Hire Pre-Boarding 20%– Coordinate all necessary communications, paperwork, and processes for newly hired employees to ensure a successful pre-boarding to on-boarding experience. Perform background checks, license/credential checks, and education verifications on newly hired employees. Coordinate the preparation and distribution of new hire confirmation and welcome letters. Verify that all new hire paperwork is complete and follow up as required on problems or missing information.

Communications 10%- Serve as initial point-of-contact for external and internal inquiries regarding employment opportunities. Use exceptional customer service skills in all interactions. Respond to inquiries regarding policy and procedure information to applicants, staff, and leadership. Provide follow-up correspondence to candidates on recruiting status via phone and email. In collaboration with recruiter, generate offer letters as needed.

Team Collaboration 10% – Develop close working relationships with the recruiters and other recruitment coordinators to effectively support the staff recruitment function and UW Medicine. Partner with Recruiters on on-going candidate pipeline development, lead generation, and collaborative staffing efforts.

Applicant Screening 15% – Review job applications for completeness and screen for job requirements. Conduct phone screens. Perform licensure verification on job applicants to confirm candidates meet requirements of position applying for.

Interviewing Scheduling & Calendar Management 10% – Schedule interviews and phone screens working directly with recruiters, candidates, and hiring managers; in some cases, arranging travel for visiting candidates. As an organizational guru, responsible complex calendar management and scheduling of internal and external meetings.

New Hire Orientation 5% – Participate in the new employee orientation process in roles of greeter as well as general support.

Reports & Other Projects 5% – Generate recruitment metric reports for internal use, meetings, and leadership distribution. Track recruiting activities and provide candidate status on weekly report(s). Participate in recruitment team process improvement projects—identify opportunities to improve candidate experience and scheduling.

Minimum Qualifications

Two years of office/clerical experience.

Preferred Qualifications

· Previous experience working in high-volume recruitment (healthcare sector highly preferred).

· Strong team player, able to highly function in a team-organized environment and support colleagues in the department’s goals and strategic priorities.

· Experience working with an Applicant Tracking System.

· Experience managing confidential information and generating reports.

· Meticulous and detailed oriented.

· Effective time management.

Compensation, Benefits and Position Details

Pay Range Minimum:

$49,452.00 annual

Pay Range Maximum:

$66,408.00 annual
