From greeting job candidates and guiding new hires to running smooth meeting logistics, this position ensures our office functions effortlessly and represents the best of our company culture. Duties and Responsibilities: Guest, Candidate & Onboarding Experience Serve as the welcoming first face of The Prestwick Companies, providing an exceptional experience for all arriving guests, vendors, and team members. Assist employment candidates during interview visits by managing arrival logistics, offering refreshments, and ensuring a comfortable, stress-free wait. Support new hires on their first day by offering a warm welcome and helping them acclimate to the workspace layout and amenities. Maintain a polished front-of-house presence, managing visitors and check-in procedures. Keep reception, conferencing spaces, and client-facing areas clean, fully stocked, and visually presentable at all times. Corporate Leadership Support Provide day-to-day administrative assistance to department heads, managers, and team leads across the entire company. Help leaders with calendar coordination, expense reports, and cross-departmental scheduling. Draft, proofread, and format internal communications, meeting agendas, and team presentation decks. Act as an accessible, go-to resource for leaders needing quick operational and administrative solutions. Meeting & Event Logistics Coordinate logistics for larger internal meetings, team offsites, and training sessions. Manage full catering workflows by gathering dietary restrictions, placing food and beverage orders, and overseeing timely delivery and display. Prepare meeting rooms before sessions, ensuring spaces are clean, seating is properly arranged, whiteboards are ready, and working with IT to make sure basic AV equipment is connected. Oversee room breakdown and cleanup immediately following meetings to keep shared spaces pristine throughout the day. ** This position is responsible for, but not limited to, all the tasks and duties listed above ** What Success Looks Like: Success in this role means serving as a warm, professional first point of contact for visitors and candidates, while providing seamless administrative support to leadership. Warm, approachable demeanor with a natural talent for making people feel welcomed and supported. Strong organizational skills with the ability to balance tasks from multiple department leaders simultaneously. High standards for room presentation, cleanliness, and event food displays. Proficiency in Google Workspace or Microsoft Office, including shared calendars and virtual meeting setups.
