Iron Oak Energy is seeking an Accounts Receivable Associate, to join our team and be based out of the company’s The Woodlands, Texas Corporate office. The Accounts Receivable Associate role will report directly to the Accounts Receivable/Revenue manager and will play a crucial part in supporting the accounts receivable function as we transition to a standalone company. Job Summary The successful candidate will support invoicing and collections for our key clients. The successful candidate is enthusiastic and flexible, with strong account reconciliation and customer service skills. Candidates should work well in a fast-paced environment. They should be able to think both creatively and analytically as we are continuously looking to improve processes, cycle time, accuracy, attention to detail and above all, customer focus - all while striving to execute flawlessly. The candidate is responsible for a variety of internal and external customer support issues, including the month-end billing process and daily transactional activities. The position works closely with other functions, including Accounting, Credit and Collections, Legal, and Sales. Qualities Results-Oriented – sets and achieves challenging goals, demonstrates persistence and overcomes obstacles Company Values – upholds organizational values, inspires the trust of others, works with integrity and works ethically, treats people with respect, and keeps commitments Continuous Learning – assesses own strengths and weaknesses, seeks feedback to improve performance, pursues training and development opportunities, and shares expertise with others Customer Service – displays courtesy and sensitivity, manages difficult or emotional customer situations, meets commitments, and responds promptly to customer needs Job Knowledge – is competent in required job skills and knowledge, exhibits the ability to learn and apply new skills, requires minimal supervision, and displays an understanding of how the job relates to others Quality – unequivocal focus on attention to detail, demonstrates accuracy and thoroughness, displays a commitment to excellence, and monitors own work to ensure quality Teamwork – balances team and individual responsibilities, exhibits objectivity and openness to others’ views, gives and welcomes feedback Attendance and Punctuality – begins work on time, arrives at meetings and appointments on time, schedules time off in advance, and ensures work responsibilities are covered when absent Quantity – meets productivity standards, completes work on time, and achieves established goals Primary Responsibilities Create and post customer invoices in IFS based on contracts, POs, or delivery milestones Verify billing accuracy against sales orders, delivery notes, and project milestones Ensure correct tax codes, currency, and customer master data usage in line with company policy and jurisdictional rules Attach required backup to each invoice as per audit protocol Adhere to invoicing SLAs by customer/account type Investigate invoice rejections, debit notes, or disputed charges; liaise with internal teams and update resolution status in IFS Escalate persistent discrepancies to Sales Ops within agreed timelines Maintain audit trail for changes, reversals, and credit memos as per internal controls Ensure SOX / internal control compliance for invoice creation, approval, and posting Liaise with Sales, Project Management, and Legal to ensure invoice alignment with commercial terms and signed contracts Support the AR team with reconciliations, unapplied cash, and credit memos where billing adjustments are required Track billing KPIs Generate billing reports and invoice aging summaries from IFS as needed by finance or audit teams Assist in customer master data setup or changes (e.g., billing addresses, currency, payment terms), ensuring segregation of duties Update and archive invoice support files in electronic folders per retention policies Required Experience/Skills and Education Benchmark Associate or bachelor’s degree (preferred) in accounting or related field with a similar technical / analytical curriculum 3 to 5 years’ experience as a biller (preferred) Upstream oil and gas experience (preferred) Proficient with Microsoft Office Products, with an emphasis on skills in Excel (e.g., Pivot Tables, VLOOKUP, and XLOOKUP) Proven ability to analyze and assess the needs of diverse clients and proactively remedy issues Strong flexibility and adaptability to manage multiple tasks within stringent time frames while maintaining accuracy Well organized and detail-oriented with excellent analytical and customer service skills Excellent Healthcare Benefits – medical, vision, dental 401K with Company Matching Vacation + Paid Holidays Disability, Life/ AD&D, and Long Term Care Insurances Employee Assistance Program Iron Oak Energy is committed to fostering diversity and inclusion in our workforce.
