This role partners closely with the Practice Manager and MA Team Lead to ensure efficient workflows, a high-quality patient experience, and a respectful, supportive team culture./ppThe ideal candidate is a proactive leader who thrives in a fast-paced environment, values collaboration, and demonstrates a strong commitment to IU Health values and patient-centered care./ph3Top Skills for Success/h3ulliStrategic thinking and problem-solving/liliInitiative and accountability/liliStrong communication and collaboration skills/liliCommitment to patient experience and service excellence/liliReliability and consistent attendance/liliAbility to lead, coach, and support a diverse team/li/ulh3Key Responsibilities/h3h4Leadership Team Support/h4ulliLead daily front office huddles and conduct monthly team rounding/liliCoordinate front office schedules in partnership with the Practice Manager/liliAssist with interviewing, onboarding, and training of Registration Specialists/liliServe as a resource for team members, providing guidance and support during high-volume periods/liliParticipate in performance conversations and disciplinary action plans, as needed/liliPromote a respectful, inclusive, and supportive team environment/li/ulh4Operations Workflow Management/h4ulliDelegate and oversee front office workflows, including task queues, pre-registration, insurance verification, ROI processing, scanning, and patient rescheduling/liliProvide check-in and check-out support as needed to ensure smooth patient flow/liliMonitor ARR and reconcile registration-related errors/liliAssist with time-of-service collections/liliCoordinate lunch coverage for the registration team/liliAmend short-term provider schedule requests as needed/liliInitiate and coordinate schedule bumps and distribute assignments to the team/li/ulh4Communication Collaboration/h4ulliMaintain active use of Teams and other clinic communication tools/liliAnswer incoming calls and assist with message management as needed/liliAttend FOCUS meetings and disseminate relevant updates to the team/liliAttend monthly Cerner Superuser meetings and share key information/li/ulh4Training, Quality Compliance/h4ulliTrain all new Registration Specialists on workflows, policies, and patient experience initiatives/liliConduct audits and report findings to leadership/liliIdentify and escalate behavioral issues or policy violations to management/liliLead or participate in process improvement initiatives/liliCross-train in all Registration Specialist roles within the department/li/ulh4Patient Experience Environment/h4ulliUphold and model patient experience standards/liliEnsure waiting room surfaces are cleaned when a sick patient has been present/liliSupport outreach efforts as directed by leadership/li/ulh3What We Offer/h3ulliA collaborative and respectful team culture/liliSupportive leadership and clear role expectations/liliOpportunities to lead process improvements and develop leadership skills/liliA meaningful role supporting patient care and operational excellence/li/ulh2Required Qualifications/h2ulliHigh School Diploma or GED required/liliMinimum of three (3) years of relevant experience in a healthcare setting/lilistrongCertified Medical Administrative Assistant (CMAA) certification required/strong/liliCoding experience preferred/liliSuccessful completion of strongFoundations of Leadership/strong within six (6) months of assuming the role, or prior/ongoing participation in the strongEmerging Leaders Program/strong/li/ulpstrongCertification Requirement Note:/strongIndividuals currently in the Team Lead Registration Specialist role at the time of career ladder implementation will be given priority access to CMAA certification exam cohorts. Certification must be successfully obtained within one (1) year of implementation.
