About The Department Family Medicine is the largest primary care specialty in the U.S. and provides most of the care to under‑resourced communities in this nation. It focuses on prevention, chronic disease management, and acute conditions. A three‑to‑four‑year residency training includes inpatient, outpatient, pediatric, obstetric, and mental health care. Family Medicine physicians are trained to provide care to any age, any gender, and any condition. The Department of Family Medicine began operations in September 2002 and has faculty practicing in community‑based primary care, an active research program, medical student education, and a family medicine residency. Since its founding, the department has become an active partner in the community, working to enhance access, quality, and safety of primary health care in south‑side Chicago and nearby suburbs. Clinical faculty are placed in local practices, and the department collaborates with health systems and practices on implementation and outcomes research. With this spirit, the Department of Family Medicine at the University of Chicago proudly announces the founding of a Family Medicine Residency Program at Ingalls Memorial Hospital. The program is designed to train and attract high‑quality, diverse family physicians who desire to serve and improve primary health‑care quality and access on Chicago’s south side and southern suburbs. Job Summary The Residency Program Manager is a founding member of the leadership team, supporting the Program Director and Associate Program Director in implementing the Family Medicine Residency at Ingalls Memorial Hospital. The Manager oversees administration of the graduate medical education program, including day‑to‑day operations, ensuring compliance with Accreditation Council of Graduate Medical Education (ACGME) and American Board of Family Medicine (ABFM) requirements and integrating residency operations with clinical sites. The role requires competency in all ACGME and Board requirements for the program and its trainees, timely annual reporting, and close collaboration with other programs and departments regarding standard operations, educational innovations, and other identified areas. High organizational skill is essential to meet all trainee, programmatic, departmental, institutional, and national requirements. This position is not eligible for employer‑sponsored employment authorization. Responsibilities Support the Program Director and Associate Program Director in administration and operations of the residency program, including start‑up activities and implementation. Coordinate and implement new systems, administrative policies, educational programs, and compliance/evaluation/accreditation strategies. Under general supervision of the Program Director, direct and oversee data management and reporting activities of the core training program. Maintain in‑depth knowledge of ACGME Program Requirements, Family Medicine Milestones, and Entrustable Professional Activities (EPAs), keeping abreast of updates and implementing changes to policies and procedures as needed. Keep up‑to‑date knowledge of all ABFM requirements for core training programs; ensure trainees meet clinical and professional expectations annually and submit all required tracking data on time. Manage program requirements: accreditation, clinical work‑hour schedules, evaluation process, recruitment and retention, Match process, orientation, off‑boarding, and employee relations. Understand ongoing projects overseen by the leadership team and serve as a resource and guide in implementing new protocols. Direct yearly recruitment activities: oversee ERAS, trainee interviews, evaluations, interview‑day operations, annual budget, registration and participation in recruitment events, marketing materials, and program website(s). Work with faculty to review, organize, and schedule rotations and track trainee evaluations. Oversee all database systems for resident trainees, recruitment, and program graduates (e.g., MedHub, ERAS, RTM). Conduct annual review of off‑site program letters of agreement across all rotations and support trainees in individualized learning opportunities. Ensure proper tracking of quarterly compliance deadlines, semi‑annual reviews, required programmatic committees, and semi‑annual milestone reporting to the ACGME. Coordinate processes and documentation of files for current residents and alumni; maintain alumni database integrity and coordinate verifications per ACGME guidelines. Collaborate with faculty, clinical, and non‑clinical personnel to ensure transparent medical education processes; provide training, onboarding, and ongoing support as applicable. Participate in day‑to‑day operations of accredited and non‑accredited residency and fellowship programs, ensuring compliance with the ACGME and Residency Review Committees (RRC). Interpret training program requirements: accreditation, duty schedules, evaluation, recruitment, Match process, orientation, and employee relations. Hold moderate/high authority in reporting and ensuring compliance with licensing, moonlighting, annual contracts, and re‑credentialing of trainees. Perform other related work as needed. Minimum Qualifications Minimum requirements include: A college or university degree in a related field. 2–5 years of work experience in a related job discipline. Preferred Qualifications Education: Bachelor’s degree in a related field. Experience: Minimum 3 years of experience in a healthcare setting (preferably Graduate Medical Education or healthcare administration). Experience with Graduate Medical Programs and Residency Management Systems (e.g., ACGME WebADS, ERAS, Thalamus, MedHub). Technical Skills or Knowledge: Training Administrators of Graduate Medical Education (TAGME) certification highly regarded. Preferred Competencies: Proficiency with MS Word, Excel, PowerPoint, PDF software, online meeting platforms, email, and other electronic communication tools. Working Conditions Requires some weekends/evenings for residency program events. Open office environment (shared space). Eligible for hybrid work based on business needs and task demands; office work encouraged for high‑collaboration tasks.
