Assistant Property Manager

Summary:

The Assistant Property Manager plays a vital role in the day-to-day operations of a residential or commercial property portfolio, supporting the Property Manager in ensuring smooth, efficient, and compliant property management. This position is ideal for a detail-oriented professional with a passion for real estate and a commitment to exceptional tenant experiences. The Assistant Property Manager will assist in leasing activities, maintenance coordination, financial tracking, and resident relations, contributing directly to property performance, tenant satisfaction, and operational excellence. As a key member of the management team, this role provides a strong foundation for career advancement in property management and real estate operations.

Responsibilities:

  • Assist in the full-cycle leasing process, including marketing vacancies, conducting property tours, screening applicants, and preparing lease agreements.
  • Maintain accurate and up-to-date tenant records, lease files, and move-in/move-out documentation in compliance with company and legal standards.
  • Coordinate with maintenance vendors and contractors to schedule repairs, track work orders, and ensure timely completion of maintenance tasks.
  • Monitor and manage property operations, including rent collection, late fee processing, and payment reconciliation.
  • Serve as the primary point of contact for tenants, addressing inquiries, resolving concerns, and ensuring high levels of customer service.
  • Conduct regular property inspections and document findings, recommending corrective actions when necessary.
  • Support the preparation of monthly financial reports, budget tracking, and expense monitoring.
  • Ensure compliance with local, state, and federal housing regulations, including fair housing laws and safety standards.
  • Collaborate with the Property Manager on strategic initiatives, such as rent increases, policy updates, and community engagement programs.
  • Maintain a clean, organized, and professional office environment, including digital and physical file systems.
Requirements
  • High school diploma or equivalent; associate's or bachelor's degree in Real Estate, Business, or a related field is a plus.
  • 1-3 years of experience in property management, customer service, or operations within the real estate industry.
  • Proficient in property management software (e.g., Yardi, AppFolio, Buildium) and Microsoft Office Suite (Excel, Word, Outlook).
  • Strong organizational and time management skills with the ability to multitask and prioritize effectively.
  • Excellent communication and interpersonal skills, with a professional demeanor in all interactions.
  • Detail-oriented with a high level of accuracy in data entry, record keeping, and documentation.
  • Basic understanding of leasing laws, tenant-landlord regulations, and fair housing compliance.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Reliable transportation and availability to perform on-site visits and attend evening or weekend events as needed.
