This is an entry‑level position responsible for processing all releases of information (ROI), specifically medical record requests, in a timely and efficient manner, ensuring accuracy and providing customers with the highest quality product and customer service. Associates must, at all times, safeguard and protect the patient’s right to privacy by ensuring that only authorized individuals have access to the patient’s medical information and that all releases of information are in compliance with the request, authorization, company policy and HIPAA regulations. Position Highlights Full‑time, onsite, Pine Bluff, AR: Monday – Friday, 8:00am – 4:30pm CST Handling patient walk‑ins and assisting with requests in a professional and compliant manner Processing Release of Information (ROI) requests, ensuring accuracy and adherence to privacy regulations, and completing digital fulfillment of medical records Ability to work in a high‑volume environment Documenting information in multiple platforms using two computer monitors Proficient in Microsoft Office (Word and Excel) Preferred Skills Knowledge of HIPAA and medical terminology Familiarity with different EHR and Billing Systems Experience working with subpoenas We offer Comprehensive onsite/virtual training program followed by job shadowing with an assigned mentor Company equipment will be provided (computer, monitor, virtual phone, etc.) Full benefits: PTO, health, vision, dental insurance, 401(k) savings plan, and tuition assistance You will Receive and process requests for patient health information in accordance with company and facility policies and procedures Maintain confidentiality and security for all privileged information Maintain working knowledge of company and facility software Adhere to the company’s and customer facilities code of conduct and policies Inform manager of work, site difficulties, and fluctuating volumes Assist with additional duties or responsibilities as needed Consistently apply medical privacy regulations to guard against unauthorized disclosure Manage patient health records and ensure compliance with HIPAA standards Prepare new patient charts, gather documents and information from paper sources and/or EHRs Ensure medical records are assembled in standard order and are accurate and complete Create digital images of paperwork to be stored in the electronic medical record Respond to requests for patient records within the facility and from external sources, retrieving and transmitting them appropriately Answer inbound/outbound calls and assist with patient walk‑ins as needed Assist with administrative duties such as handling faxes, opening mail, and data entry Meet productivity expectations as outlined at specific sites Schedule pick‑ups when required Perform other duties as assigned What you will bring to the table High school diploma or GED Ability to commute between locations as needed Willingness to work overtime during peak seasons when required Basic computer proficiency Comfortable using phones, fax machines, printers and other general office equipment on a regular basis Professional verbal and written communication skills in English Detail and quality oriented, focused on accurate and compliant information for medical records Strong data entry skills Ability to work with minimal supervision, responding to changing priorities and role needs Organizational skills to manage multiple tasks Ability to respond to requests in a fast‑paced environment Bonus points if Experience in a healthcare environment Previous production/metric‑based work experience In‑person customer service experience Ability to build relationships with onsite clients and customers Comfortable suggesting new ideas, process improvements, and providing feedback to internal stakeholders To ensure the safety of patients and staff, many of our clients require post‑offer health screenings and proof and/or completion of various vaccinations such as the flu shot, Tdap, COVID‑19, etc. Any requests to be exempted from these requirements will be reviewed by Datavant Human Resources on a case‑by‑case basis.
