Position Description: Shipping & Receiving Coordinator  

The Shipping & Receiving Coordinator is responsible for coordinating shipping, receiving, transfer order, and inventory-related transactions while serving as a key operational resource supporting material flow throughout the organization. This role acts as the primary owner of shipping and receiving transaction execution, transfer order coordination, documentation management, and issue resolution within Microsoft Dynamics 365 Business Central (BC). The Shipping & Receiving Coordinator works closely with Materials, Logistics, Procurement, Finance, Production, and Warehouse teams to ensure materials and information move efficiently throughout the business. 

Primary Duties:  

Shipping & Receiving Transaction Management  

• Process shipping, receiving, transfer order, and inventory-related transactions within Microsoft Dynamics 365 Business Central (BC) 
• Ensure inbound and outbound shipments are accurately documented and reflected within ERP systems 
• Validate receiving documentation, shipment paperwork, and supporting records for completeness and accuracy 
• Assist with shipment processing, receipt confirmations, and inventory transaction execution 
• Maintain organized electronic and physical shipping and receiving documentation 
• Ensure transaction accuracy and timely completion of receiving and shipping activities 

Internal Transfer Order Ownership  

• Serve as the primary owner of day-to-day transfer order coordination across all LayerZero facilities 
• Monitor transfer order activity and proactively manage open requests, priorities, and exceptions 
• Coordinate closely with Materials, Logistics, Production, Planning, and Warehouse teams to ensure timely movement of material between facilities 
• Manage HOT, urgent, and escalated transfer requests impacting production schedules or customer commitments 
• Track transfer order status and communicate updates to stakeholders throughout the organization 
• Identify transfer order bottlenecks and help drive timely resolution 
• Support continuous improvement of transfer order processes and workflows 

Transaction & Documentation Resolution  

• Investigate and resolve purchase order discrepancies, receiving issues, shipment documentation concerns, and transaction errors 
• Coordinate with Procurement, Finance, Accounting, Logistics, Quality, and Operations teams to drive issue resolution through completion 
• Serve as the owner of shipping, receiving, and transfer order exceptions until closure 
• Research inventory, shipment, and transaction issues using BC and supporting documentation 
• Escalate recurring process issues and recommend corrective actions 
• Support audit readiness through proper documentation and transaction controls 

Dock & Material Flow Coordination  

• Support Shipping & Receiving Leads with dock scheduling, shipment prioritization, and inbound/outbound visibility 
• Help coordinate receiving appointments, shipment readiness, and transportation timing 
• Assist with inventory flow and material movement coordination between dock, warehouse, and production areas 
• Maintain visibility of inbound shipments and communicate critical material arrivals 
• Support prioritization of HOT receipts and critical material deliveries 
• Help identify bottlenecks impacting dock throughput, receiving performance, or material movement 

ERP & Operational Support  

• Utilize Microsoft Dynamics 365 Business Central (BC) to support operational execution and transaction accuracy 
• Troubleshoot transaction issues related to purchase orders, receipts, shipments, transfer orders, and inventory movements 
• Support ERP process improvements and standardization initiatives 
• Assist with reporting, data validation, and operational analysis as needed 
• Help maintain transaction discipline and process compliance throughout logistics operations 
• Support inventory accuracy through disciplined transaction execution and documentation management 

Experience & Skills:  

• 2+ years of experience in shipping, receiving, logistics, inventory, materials, warehouse, or manufacturing operations 
• Experience using ERP systems to process transactions and investigate operational issues 
• Strong organizational and follow-up skills 
• Ability to manage multiple priorities and drive issues to resolution 
• Strong communication and problem-solving abilities 
• Proficiency with Microsoft Excel, Outlook, and business systems 
• High attention to detail and commitment to transaction accuracy 
• Experience with Microsoft Dynamics 365 Business Central (BC) 
• Experience supporting transfer orders, shipping, receiving, or inventory control processes 
• Manufacturing or warehouse operations experience 
• Experience working cross-functionally with Procurement, Finance, Operations, and Logistics teams 
• Experience supporting ERP implementations or process transitions 
• Experience coordinating material movement or inventory-related transactions
