Receptionist

Description

The Receptionist oversees the daily operations of the Welcome Center area and is the initial point of contact for all guests to the facility. The Receptionist is expected to convey a positive and professional demeanor to all guests and staff. The Receptionist is responsible for answering all incoming phone calls, checking in and verifying visitors, assisting with reporting and mailing, etc.

Performance Standards

1. Implement the decisions of your immediate supervisor or managers within your chain of command.

2. Provide a positive role model for the students at all times through appearance, attitude, and behavior.

3. Exhibit sensitivity to the clients' cultural and socioeconomic characteristics.

4. Attend all in-services, General Staff Meetings, and meetings called by their supervisor.

5. Work harmoniously and effectively with co-workers.

6. Accomplish objectives and consistently produce satisfactory work.

7. Is faithful in reporting to work, staying on the job, and helping to meet institutional emergencies.

8. Communicate effectively, both verbally and in writing.

9. Comply with department guidelines, the Organization and Personnel Guidelines, and all expectations set by Gibault's administration.

10. Comply with confidentiality protocol regarding any client, staff or company matter.


11. Exhibit a professional manner towards others in all situations.


12. Answer multi-line phone, directing calls to appropriate destination.

13. Greet visitors and follow required check-in and visitation procedures.

14. Direct visitors to the appropriate area of campus or call clients over for meetings.

15. Maintain most recent run sheet on file for each client.

16. Order cleaning and housekeeping supplies for Welcome Center area.


17. Maintain cleanliness of visitation and conference room, in addition to entry area.


18. Oversee reservation process for the conference room.

19. Enter in monthly maintenance reports.

20. Scan weekend visitor logs and staff sign-in sheets each month.

21. Serve as a support and assist with supervisor responsibilities when needed.

22. Assist the Secretary during times of peak workloads.

23. Take regular inventory of own emotional well-being. Develop and adhere to a self-care plan to promote wellness and prevent burnout.

24. Perform all other duties as assigned.

Requirements

• High School Diploma or GED.

• Possession of a valid driver's license with reliable transportation.

• Submit to and pass all required background checks.
