Supervisor’s Title: Business Office Manager Position Summary Greets and assists residents, families, guests, vendors, and service providers in a warm and professional manner; answers and routes calls; supports security and front‑of‑house organization. Essential Job Functions Provide ongoing switchboard coverage; greet and assist all visitors and callers. Resolve routine issues with professionalism; de‑escalate concerns and ensure follow‑through. Accept and log packages; notify recipients; distribute mail and magazines; maintain visitor sign‑in. Monitor security systems as applicable; maintain controlled access to public entries. Submit maintenance work orders as requested; keep lobby and desk neat and clean; assemble marketing materials as needed. Assist with event sign‑ins; maintain resident directories and status lists; create notices and internal screen content; greet job applicants and explain next steps. Hospitality Standards Greet residents, employees, and guests warmly—by name and with a smile. Treat everyone with courtesy and respect; embrace and value our differences. Anticipate needs and act proactively; listen and respond promptly and enthusiastically. Hold ourselves and one another accountable; maintain professionalism in conduct and appearance. Pay attention to details; ask, "Is there anything else I can do for you?" Education High school diploma or equivalent. Experience Minimum one (1) year receptionist/switchboard; senior living experience preferred. Knowledge/Skills Switchboard operations; multi‑tasking; calm problem solving; strong communication. Comfort using Gardens Care’s approved systems is required: Google Workspace (Docs, Sheets, Drive, Gmail, Calendar, Meet), ECP (care management), Sagely (life enrichment/ activity documentation), and ADP (timekeeping, payroll, scheduling). Special Requirements Medical clearance consistent with policy. Tools & Equipment Computer; printer/copier/scanner; telephone/switchboard; postage machine/scale; check scanner; entrance security systems; radios/intercom; overhead paging. Physical Activities Lift/carry up to 50 lbs.; reach/bend/twist; frequent talking and listening. Typically sits ~6 hrs and stands/walks ~2 hrs per 8‑hr day. Physical Requirements Sedentary work — up to 50 lbs. occasionally; negligible constant force. Visual Requirements Clerical/administrative tasks.
