Office Assistant 2 (NY HELPS) 61465

Duties Deliver mail to residents and separate departments. Work with the Nursing Team to maintain inventory at par levels in Central Supply. Change products to new items while ensuring compliance with all MSDS. Keep inventory and fill housekeeping supply room, unit supply rooms, and urological supplies for residents. Review and order supplies needed Just‑in‑Time, including special orders for new residents. Receive products daily, complete Purchase Orders in the receiving systems, and process paperwork with data entry. Send products for residents via UPS and FedEx. Work with the Oxygen supplier to complete preventive maintenance on O₂ equipment and maintain required inventory. Perform yearly physical inventory for the facility, track total cost. Assist in setting up new beds, including special orders directed by medical staff. Change toner cartridges on printers and copy machines and supply copy paper. Assist all units with purchases as needed and manage PPE inventory, reporting to the Department of Health and Health Facilities Management. Qualifications Minimum qualifications include: Current NYS Department of Health employee with permanent or contingent permanent service as an Office Assistant 2, Grade 9; or current NYS employee with one year or more of permanent or contingent permanent competitive service eligible to transfer to Office Assistant 2, Grade 9. Recruitment via NY HELPs: one year of clerical experience. For promotional provisional appointments: must be a current NYS Department of Health employee with one year of permanent competitive or 55‑b/55‑c service as an Office Assistant 1, Grade 6, or Office Assistant, Clerical, or Keyboarding title allocated to a Grade 6 or higher.
