The Financial Aid Specialist ensures the delivery of financial aid in compliance with college, federal and state regulations. This role provides advising and support to students and families throughout the financial aid process, manages external scholarships and agency funding, verifies documentation, and participates in policy development and professional growth. Essential Functions
Essential Functions Compliance and Procedures: Adhere to established financial aid office procedures to ensure the delivery of aid in compliance with college, federal, state, and guarantee agency regulations. Recommend improvements to processes and policies as appropriate. Essential Functions Client Service and Advising: Serve as first point of contact for students and families, providing information on financial aid options, scholarships, and eligibility criteria. Advise on application processes, assess financial need, conduct outreach, and deliver presentations. Provide clear explanations of complex financial aid concepts. Manages the area wide financial aid email account and phone line. Essential Functions Verification and Document Management: Review and maintain financial aid applications and supporting documentation to verify accuracy of information reported on the FAFSA. Identify and resolve discrepancies, requesting additional documentation as needed. Recalculate and update financial aid awards when eligibility changes. Exercise a high degree of accuracy, independent working and attention to detail to ensure compliance and avoid unintended consequences, such as over-awarding, loss of eligibility, audit findings, or penalties. Essential Functions Work-Study Program Support: Assists with the administration of the campus Federal Work-Study Program, including processing applications, I-9 and W-4 forms, and terminations. Supports student placement, monitors award amounts, communicates with supervisors, and prepares reports for the Assistant Financial Aid Director. Provides orientation and Time Clock Plus training for Work-Study students. Essential Functions College Scholarship Management Support: Assists in administering the college scholarship program by distributing promotional materials and application information; communicating with donors, high school counselors, applicants, and selection committee members; and following up with applicants regarding missing requirements. Coordinates scholarship communications, including sending student thank-you notes to the foundation office, notifying applicants of selection results, and providing high school counselors with recipient lists and certificates. Provides the CCC Public Relations department with recipient lists and basic demographic information for press release. Essential Functions External Scholarship Management: Coordinate the receipt and disbursement of external scholarships. Adjusts Financial Aid Offer to avoid unintended consequences, such as over-awarding, loss of eligibility, audit findings, or penalties. Reconcile scholarship funds with the Student Accounts Office to ensure timely and accurate processing. Create new scholarship codes as needed. Essential Functions Agency Funding and Over-Award Management: Facilitate funding from external agencies, including Workforce Development, Vocational Rehabilitation, Workmen's Compensation, and Veterans Benefits. Identify and resolve potential over-awards by adjusting financial aid packages or referring cases to the campus Assistant Financial Aid Director. Complete need analysis forms for social service agencies. Essential Functions Policy and Procedure Development: Contribute to the development and revision of financial aid policies, procedures, and publications. Stay informed on regulatory changes and support implementation of necessary updates. Essential Functions Interdepartmental Collaboration: Maintain a working knowledge of related policies in departments such as Registrar, Student Accounts, Human Resources, Athletics, etc., and support cross-functional efforts that impact student financial aid eligibility. Essential Functions Professional Development: Participate in state, regional, and national professional development activities to remain current on federal and state regulations and best practices in financial aid administration.
