Position: Financial Planning & Analysis (FP&A) and Auxiliary Funds Manager Location: Cincinnati, OH Job Id: 328 # of Openings: 1 Position Summary: This hybrid role encompasses two different areas of responsibility including FP&A support to the CFO and senior leadership team and management of State of Ohio auxiliary funds for the Principal. Possibility exists to take on additional perfecting responsibilities for the right candidate. Essential Duties and Responsibilities: FP&A Activities Assist CFO and Controller in preparation of annual budget; take lead in developing 5 year projections on the back of the annual budget Track contributions, pledges and pledge payments to the School’s 5 Year Capital Campaign, working closely with Gift Processing (Advancement Department). Reconcile capital campaign cash on hand each month based on cash collected and bills paid Work closely with the CFO to support financing of School reconstruction efforts, including short and long term debt issuance Maintain records of all individual endowment accounts, reconciling balances in Fund Driver with Advancement and Accounting records Assist Advancement team in preparing individual endowment fund report cards to support donor engagement Make necessary endowment accounting entries each month Determine annual draw from School endowment Support the Investment Committee of the Board of Trustees in their work managing the School endowment and OCIO Support budgeting, reporting and analysis of Athletics revenue & spend, including Boosters Track 4 pay-to-play sports monthly All other sports quarterly Maintain faculty pay scale analysis (annually) Support other financial analysis and projects as needed Auxiliary Funds Activities Administer and monitor Ohio Department of Education (ODE) funds, ensuring compliance with all state guidelines and funding requirements. Coordinate with academic departments and support areas to identify instructional and technology resource needs. Research vendors, obtain pricing and quotes, and assist departments in selecting cost‑effective products and services. Manage the purchasing process from quote requests through order placement, receipt, and distribution of materials. Review and process vendor quotes, purchase orders, invoices, and related documentation for accuracy and approval. Maintain vendor relationships and communicate with suppliers regarding pricing, orders, and billing. Create and manage purchase orders, bills, vendor records, and account information within QuickBooks, ensuring proper documentation and approval workflows. Create and maintain monthly spending reports, tracking expenditures and providing spending summaries and financial updates to school administration. Screening Employees and Regular Volunteers Persons who serve our students as employees or regular volunteers are among the School's most valuable assets. They contribute so much to the spiritual, emotional, intellectual, and physical wellbeing of young persons. Administrators must take due precautions in order to assure that only those persons who are psychologically and temperamentally suited are chosen to work with students. B.1 Each applicant for employment in a position with regular, significant contact with students must supply to the hiring agent personal information adequate to assess him or her suitability for contact with students. Each applicant must complete and sign the official Applicant's Certification (cf. Attachment 3). Each applicant must supply the names of three references, at least one from the most recent employer and none from close friends or relatives. B.2 Hiring agents are to speak with references provided by applicants for employment and to examine and verify the employment history. The hiring agent will secure a check of criminal records through the Ohio Bureau of Criminal Investigation. B.3 The School will establish procedures for gathering the information and completing the reference checks mentioned above. All of this information is to be retained in a confidential file at the location of employment until five years after employment ends, at which time all application documents are to be destroyed. B.4 Those persons who recruit volunteers to work regularly with students should exercise caution in selecting volunteers. If there is any cause for concern in a particular case, the matter should be brought to the attention of the responsible supervisor for further review. A background check of criminal records through the Ohio Bureau of Criminal Investigation will be secured for all volunteers who work regularly with students. A "regular volunteer" means anyone other than an employee who functions in a regular significant relationship with students. This includes coaches, tutors, interns, student teachers, and others in a similar capacity. It also means any volunteer who works with students more than three hours a month or who works with students more frequently than once a month.
