Optical Manager
Position Summary
The Optical Manager is responsible for the daily operation and performance of the optical department. This is a hands-on leadership position that combines patient care, optical sales, staff supervision, inventory management, quality control, and financial accountability.
The Optical Manager is expected to lead by example, maintain a high standard of service, and ensure that patients receive accurate, appropriate eyewear recommendations. This person must be able to balance patient needs, prescription requirements, insurance benefits, product quality, and practice profitability.
Primary Responsibilities
Patient Care and Optical Sales
- Guide patients through frame and lens selection based on their prescription, lifestyle, appearance, and budget.
- Explain lens designs, materials, coatings, and treatment options in language patients can understand.
- Accurately take and verify optical measurements, including pupillary distance, optical center, segment height, and other measurements required for proper lens performance.
- Adjust, fit, dispense, troubleshoot, and repair eyewear.
- Handle difficult prescriptions, non-adapts, remakes, and patient concerns professionally.
- Promote appropriate products without using high-pressure sales tactics.
- Ensure patients receive consistent recommendations regardless of which employee assists them.
Staff Leadership and Training
- Supervise, train, coach, and evaluate optical employees.
- Establish clear expectations for patient service, technical accuracy, productivity, and professional conduct.
- Develop employees’ skills in frame selection, lens recommendations, measurements, adjustments, insurance benefits, and order entry.
- Assign daily responsibilities and make sure work is completed accurately and on time.
- Address performance problems promptly and document concerns when appropriate.
- Create a positive, accountable work environment focused on teamwork and patient care.
Department Operations
- Oversee the optical department’s daily workflow from initial patient contact through final dispensing.
- Review orders for accuracy before they are submitted to the laboratory.
- Track delayed orders, remakes, warranties, credits, and unresolved patient issues.
- Maintain quality-control procedures for incoming and completed eyewear.
- Ensure frames, displays, work areas, and dispensing areas remain clean, organized, and professional.
- Maintain appropriate staffing and coordinate coverage during absences and busy periods.
- Work closely with providers, technicians, front-office employees, laboratories, and vendors.
Inventory and Vendor Management
- Maintain an appropriate frame inventory based on patient demand, product performance, insurance participation, and department goals.
- Monitor frame sales, inventory age, turn rate, and product mix.
- Place and receive frame and supply orders.
- Conduct routine inventory counts and investigate discrepancies.
- Manage vendor relationships, returns, credits, warranties, and discontinued products.
- Help select products that provide patients with good value while supporting the financial health of the practice.
Insurance and Financial Performance
- Understand and apply vision-plan benefits, allowances, copays, upgrades, and ordering requirements.
- Ensure charges, discounts, payments, and insurance information are entered correctly.
- Review optical transactions for accuracy and address recurring errors.
- Monitor key department measures, including sales, capture rate, average sale, remakes, discounts, outstanding orders, and gross profit.
- Identify opportunities to improve efficiency, patient service, and profitability.
- Protect practice assets and follow established procedures for payments, refunds, discounts, and inventory.
Compliance and Professional Standards
- Protect patient privacy and follow HIPAA requirements.
- Follow all practice policies, safety procedures, and applicable laws and regulations.
- Maintain accurate patient and order documentation.
- Use good judgment and escalate clinical, prescription, or personnel concerns when appropriate.
- Maintain dependable attendance and professional behavior.
Required Qualifications
- Previous optical experience, including frame styling, lens selection, measurements, adjustments, troubleshooting, and dispensing.
- Strong understanding of lens materials, progressive designs, coatings, multifocal options, and prescription considerations.
- Demonstrated ability to lead employees and hold others accountable.
- Strong communication, organization, and problem-solving skills.
- Ability to manage several priorities while maintaining accuracy.
- Comfortable using optical ordering systems, practice-management software, email, and basic reports.
- Ability to work directly with patients throughout the day.
- High school diploma or equivalent.
Preferred Qualifications
- Previous optical management or supervisory experience.
- Experience in an optometry or ophthalmology practice.
- Experience working with vision plans and managed-care optical benefits.
- ABO certification or willingness to pursue certification.
- Experience managing inventory, vendors, sales goals, and department performance reports.
Physical and Scheduling Requirements
- Ability to remain standing or moving for much of the workday.
- Ability to perform detailed work with frames, lenses, tools, and small parts.
- Ability to lift and carry routine optical inventory and supply shipments.
- Availability to work the practice’s regular optical schedule and provide dependable coverage.

Position Type
Full-time, hands-on management position. The Optical Manager is expected to spend a significant portion of the workday directly assisting patients and supporting the optical team.
