Description


The purpose of this position is to manage student accounts, provide financial support services, and ensure accurate cash handling and record-keeping at Trinity Valley Community College. This role assists students, faculty, and staff with account inquiries, payment processing, and financial transactions, while maintaining compliance with institutional policies and FERPA guidelines. Additionally, the position supports the business office by developing procedures, managing petty cash and athletic funds, and serving as the lead cashier, ensuring smooth and efficient operations across all campus locations.

Job Duties

  • Assist students, faculty, administration, and the public with inquiries about student account balances and college-related information.
  • Identify and resolve student account issues; direct students to appropriate offices and explain financial activities related to registration, refunds, and withdrawals.
  • Help students set up authorized users on their accounts in compliance with FERPA.
  • Provide technical support for the payment center, assisting with payments, payment plans, and student account portal issues.
  • Maintain and balance the cash drawer daily; reconcile transaction receipts and ensure accurate accounting of funds.
  • Manage petty cash and athletics game funds, including reconciliation and replenishment.
  • Distribute accounts payable and work-study checks to students and staff as needed.
  • Develop and update processes for the Accounting Clerk position; distribute training materials to campus cashier staff.
  • Prepare and scan business office documents into the electronic filing system and securely dispose of confidential information.
  • Serve as backup for the Accounting Specialist by assisting with tasks related to student accounts.
  • Post charges and holds to student accounts as requested by various departments (Housing, Library, Athletics, etc.).
  • Recommend and implement enhancements to accounts receivable policies and procedures.
  • Act as lead cashier, assisting cashiers at all campus locations with processes and procedures.
  • Represent the Business Office/Student Accounts at campus events, providing information on payments and refunds.
  • Provide clerical support to Business Office staff, including handling mail, document preparation, and student communication.
  • Perform other duties as assigned by supervisors.
Qualifications

EDUCATION REQUIRED:
High school diploma or GED with specialized courses in accounting, business, or closely related field
PREFERRED:
Associate degree
EXPERIENCE REQUIRED:
Two (2) years' experience in computerized clerical accounting applications, accounts receivable, cashiering, or related area
PREFERRED:
Experience in higher education.
