We are seeking a highly organized, detail-oriented Inventory Administrator to join our team. The ideal candidate will be responsible for maintaining accurate inventory records, processing inventory transactions, coordinating inventory documentation, and supporting inventory operations through administrative and clerical functions. This role requires strong organizational skills, data accuracy, and the ability to collaborate effectively with multiple departments to ensure inventory integrity and operational efficiency.

Key Responsibilities

  • Maintain accurate inventory records within the company's inventory management and ERP systems.
  • Process inventory transactions, including receipts, transfers, adjustments, and returns.
  • Reconcile inventory discrepancies by researching variances and coordinating corrective actions.
  • Perform routine inventory audits, cycle counts, and data verification to ensure record accuracy.
  • Prepare and maintain inventory reports, spreadsheets, and documentation for management.
  • Coordinate with Purchasing, Operations, Production, and Accounting to ensure timely and accurate inventory updates.
  • Create, organize, and maintain inventory-related files, records, and supporting documentation.
  • Monitor inventory levels and notify appropriate departments of shortages, overages, or potential stock concerns.
  • Assist with the creation and maintenance of inventory procedures and process documentation.
  • Support receiving and shipping documentation by verifying purchase orders, packing slips, and inventory records.
  • Respond to inventory inquiries and resolve issues in a timely and professional manner.
  • Assist with month-end and year-end inventory reporting and audits.
  • Maintain confidentiality of inventory and company data.
  • Follow all company policies, procedures, and quality standards.

Qualifications

  • High school diploma or GED required; Associate's degree in Business Administration, Supply Chain, or a related field is a plus.
  • 2–3 years of inventory administration, inventory control, data entry, or administrative experience preferred.
  • Experience with ERP or inventory management systems (SAP experience preferred).
  • Proficient in Microsoft Office, particularly Excel, Outlook, and Word.
  • Excellent data entry accuracy and attention to detail.
  • Strong organizational, analytical, and problem-solving skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Ability to work independently while collaborating effectively with cross-functional teams.

Work Environment

  • Primarily office-based with occasional visits to warehouse or production areas to verify inventory.
  • Regular use of computers, office equipment, and inventory management software.
  • May occasionally lift up to 20 pounds when handling inventory records or small inventory items.
