Growing Hormone & Functional Wellness Clinic - Louisville, KY About Us We're a concierge hormone optimization and functional wellness clinic offering hormone therapy, weight loss programs, peptide therapy, and related wellness services. We're a small, high-touch practice - patients come to us for results and for an experience that feels nothing like a typical doctor's office. We're looking for someone who wants to be the face of that experience. The Role This is more than a front desk job. You'll be the first and last person our patients interact with at every visit, and you'll own their journey between visits too. If you're organized, warm under pressure, and genuinely like taking care of people, this role gives you real ownership. What you'll do: Greet patients and manage a smooth, on-time check-in process Handle checkout: payment collection, rebooking next appointment, answering last-minute questions Answer phones and manage scheduling - you'll be our primary point of contact for incoming calls Walk new patients through what to expect: our services, how our programs work, and what happens at each stage of their treatment (all within scope - clinical questions and any changes to a patient's protocol always go to our APRN/RN, never answered at the desk) Own our patient follow-up cadence - care calls, check-ins, and touchpoints between visits so no patient falls through the cracks Track where each patient is in their journey (new lead → consult → active patient → renewal) and flag anyone who's stalled or at risk of lapsing Support membership/protocol renewal conversations and help convert inquiries into booked consults Keep the front office running - supplies, patient files, day-to-day operations This is a full-time role and the primary point of contact for our patients day to day. You'll work alongside a part-time team member who provides backup coverage. What we're looking for: 1+ years in a medical office, med spa, wellness, or similarly patient-facing role (front desk, scheduling, or coordination experience preferred) Comfortable with cash-pay/concierge models - this isn't an insurance-billing role Strong phone and in-person communication skills; you make people feel taken care of Organized enough to track multiple patients across multiple stages without dropping the ball Comfortable with basic EMR/scheduling software (we'll train on our specific systems) A team player who works closely with our clinical and administrative staff Compensation Competitive hourly base, commensurate with experience Monthly performance bonus tied to patient retention and consult conversion Full-time, in-office role in East Louisville Why This Role Small team, real impact.
