Serving a diverse student population, CCD values individuals who contribute to its mission of advancing social, civic, and economic vitality.\n \nJob Summary:\nThe Loan Coordinator/Financial Aid Advisor administers federal, state, institutional, and private financial aid programs with primary responsibility for loan administration and assists students in understanding how financial resources support their educational and career goals. This position ensures compliance with applicable regulations, provides comprehensive financial aid counseling, performs complex financial aid processing and reconciliation activities, collaborates with campus and external partners, and contributes to continuous improvement of Financial Aid operations while delivering an exceptional student-centered customer experience. This is a high-volume processing and advisement position which requires a high degree of mastery of complex regulations and student support. \n This position serves in a student advising, outreach, and client services capacity and involves a great deal of student interaction. This position is required to effectively communicate financial aid policies to students, parents, the College, and community members and to uphold grace, empathy, and professionalism during challenging interactions.\n The Loan Coordinator/Financial Aid is also responsible for various other duties including the routine processing of transfer monitoring files, reporting and tracking of loans, the review of disbursement error reports, and other duties as assigned.\nDuties & Responsibilities:\nThe Financial Aid Advisor/Loan Coordinator must maintain expert knowledge of federal, state, and institutional policies regarding all types of financial aid (i.e., Pell Grant, Colorado Student Grant, Direct Loans, etc.). This person must possess advanced knowledge of Banner, Common Origination and Disbursement (COD), and National Student Loan Data System (NSLDS), with the ability to resolve data integrity issues and discrepancies between these systems. This position is required to package \n financial aid awards based on needs-analysis, federal regulations, cost of attendance, and institutional budgets. All of these duties require a high level of research skills with the ability to interpret federal and institutional guidelines independently and to use Professional Judgment wisely.\nThis position requires contact with a diverse population of students via in person, written and virtual interactions. The position will advise both students and parents of the various aspects of financial aid (i.e., application procedures, verification documentation, scholarship and grant guidelines, federal and private loan conditions, Satisfactory Academic Progress requirements, etc.). \nLoan Administration and Processing\n\n Coordinate the administration and processing of Federal Direct, Parent PLUS, and private loans from origination through disbursement utilizing Banner, COD, NSLDS, and related financial aid systems.\n Coordinate the administration of Federal Direct, Parent PLUS, and private education loan programs from certification through disbursement.\n Review, certify, originate, adjust, cancel, and reconcile loan transactions in accordance with federal regulations and institutional policies.\n Monitor loan activity, review exception reports, and resolve discrepancies to ensure accurate and timely processing.\n Serve as the institutional liaison with federal agencies, private lenders, loan servicers, CCD fiscal partners and the Colorado Community College System regarding loan administration.\n Monitor regulatory changes affecting loan programs and recommend procedural improvements to maintain compliance and operational effectiveness.\n Review duplicate loan and transfer monitoring records, resolve discrepancies, and make appropriate financial aid adjustments to ensure accurate awarding and federal compliance.\n\nStudent Financial Aid Advising and Customer Service\n\n Provide comprehensive financial aid advising that empowers students to make informed educational and financial decisions that support credential completion and future career opportunities.\n Provides advisement to prospective and current students, families, and community members regarding federal, state, institutional, and private financial aid programs.\n Counsel students on application requirements, verification, satisfactory academic progress (SAP), loan borrowing, repayment obligations, and financial planning, and the relationship between educational financing, academic planning, debt management, and long-term financial well-being.\n Educate students on responsible borrowing practices and available financial resources that support successful completion while minimizing unnecessary debt.\n Deliver exceptional customer service through in-person, virtual, telephone, and written communication while maintaining professionalism, empathy, and confidentiality.\n Resolve complex student financial aid inquiries by interpreting federal, state, system, and institutional regulations.\n\nFinancial Aid Compliance & Reconciliation \n\n Coordinate funds management of Loans with the CCD Student Accounts and Financial Services Teams\n Perform monthly and annual loan reconciliation activities loan reconciliation and related financial aid reconciliation activities to ensure accuracy of institutional and federal records.\n Review reports, identify discrepancies, research issues, and implement corrective actions to maintain data integrity.\n Ensure compliance with federal, state, CCCS, and institutional regulations.\n Assist with audits, reporting requirements, and documentation supporting regulatory compliance.\n Contribute to the development and maintenance of standardized procedures and documentation to support operational consistency and cross-training.\n\nCollaboration & Professional Engagement\n\n Participate in continuous improvement initiatives that enhance equitable access to financial aid, improve the student experience, and support institutional goals related to retention, completion, and post-graduation success.\n Collaborate with Admissions, Advising, Career/Workforce, Student Accounts, and other campus partners to provide coordinated support that promotes student success and economic mobility.\n Participate in departmental meetings, committees, and system-wide workgroups.\n Foster collaborative relationships with external agencies, including the U.S. Department of Education, Colorado Community College System, loan servicers, and lending partners.\n Maintain current knowledge of financial aid regulations and best practices through ongoing professional development.\n\nCompetencies/KSAs:\n\n Must have a strong commitment to quality customer service.\n Ability to provide holistic financial aid advising that supports student persistence, credential completion, career readiness, and long-term economic mobility by helping students understand the financial implications of educational decisions.\n Strong oral and written communication; attention to detail; ability to handle numerous complex and routine tasks simultaneously; strong human relations skills; the ability to work with a diverse group of individuals and complex long- and short-range concurrent planning for overlapping fiscal years.\n Knowledge of higher education enrollment processes and how financial aid supports student persistence, completion, and economic mobility. Knowledge of FERPA and applicable privacy regulations. Understanding of equity-minded and student-centered service practices.\n Excellent decision-making and sound professional judgment. Ability to prioritize competing deadlines in a high-volume environment.\n Strong documentation and records management skills. \n The work schedule for this position will include occasional weekend and evening counseling hours.\n\nMinimum Qualifications:\nEducation: Associate’s Degree (Direct financial aid experience may be substituted for the education on a year for year basis, and will not count towards the experience requirement below).Experience:\n Two years of higher education administration (or similar) experience or three years of customer service. Other Considerations:\nAbility to work effectively in a high-volume, fast-paced environment while managing multiple priorities and serving a diverse student population. Must demonstrate strong attention to detail, organizational skills, and a proactive approach to problem-solving. The successful candidate should be confident in independently utilizing available resources and tools to research and resolve questions. Must be available to work during peak processing periods in accordance with job responsibilities and the college's academic calendar. Additionally, the candidate must be in good standing with their federal student loans, if applicable.\nPreferred Qualifications:\nExperience:\n Two years of financial aid experience with a background in processing loans and/or Ellucian-Banner Financial Aid software experience is preferred as well as web software and experience with Microsoft Office including Word, Excel and Outlook.Knowledge/Skills/Abilities:\n Working knowledge of federal Title IV financial aid regulations, state financial aid programs, and institutional financial aid policies.\nUnderstanding of financial literacy principles, responsible borrowing, and debt management. Ability to interpret and apply complex federal regulations. Process improvement and workflow analysis. Conflict resolution and de-escalation skills.\n Demonstrated ability to learn and effectively utilize student information systems, financial aid management systems, reporting tools, and enterprise technologies.
