Job Summary

We are seeking an experienced Project Coordinator to support and coordinate utility distribution projects related to electric, gas, or water systems. The ideal candidate will have strong project coordination experience, excellent organizational skills, and proficiency in project tracking and reporting tools. This role will work closely with project managers, engineers, field teams, and stakeholders to ensure projects are delivered safely, on time, within budget, and in accordance with quality standards and regulatory requirements.

Key Responsibilities

Project Planning & Coordination

• Collaborate with Project Managers, Engineers, and stakeholders to develop project plans, schedules, milestones, and deliverables.
• Coordinate daily project activities to ensure timely execution of distribution projects.
• Monitor project progress and proactively identify risks, bottlenecks, and schedule conflicts.
• Support project teams in achieving project objectives and meeting key milestones.

Scheduling & Tracking

• Develop, maintain, and update project schedules.
• Track project status, deliverables, resource utilization, and key performance metrics.
• Identify project delays and recommend corrective actions to maintain project timelines.
• Ensure all project activities are accurately documented and reported.

Resource Management

• Coordinate allocation and utilization of project resources, including personnel, materials, equipment, and contractors.
• Monitor resource availability and support project managers in resolving resource constraints.
• Assist in workload planning across multiple concurrent projects.

Reporting & Documentation

• Maintain comprehensive project documentation, including schedules, meeting minutes, change logs, risk registers, and project records.
• Prepare and distribute regular project status reports, dashboards, and performance metrics.
• Ensure project files and documentation comply with organizational and regulatory requirements.

Stakeholder Communication

• Serve as a central point of contact between project teams, field personnel, vendors, and stakeholders.
• Facilitate project meetings and ensure follow-up on action items.
• Communicate project updates, issues, risks, and mitigation plans to relevant stakeholders.

Procurement & Vendor Coordination

• Support procurement activities including material requisitions, RFQs, vendor quotations, and purchase order tracking.
• Coordinate with suppliers and contractors to ensure timely delivery of materials and services.
• Monitor vendor performance and assist in issue resolution.

Change Management

• Support project change management processes by documenting scope changes and obtaining required approvals.
• Track impacts of changes on project schedules, budgets, and resources.

Safety & Compliance

• Promote a strong safety culture across all project activities.
• Ensure adherence to company safety policies, industry standards, and regulatory requirements.
• Support compliance with utility distribution regulations and operational procedures.

Required Qualifications

• Bachelor's Degree in Engineering, Project Management, Construction Management, Business Administration, or a related field.
• 5-10 years of project coordination experience, preferably within the utility, energy, engineering, or infrastructure sectors.
• Experience supporting electric distribution, gas distribution, water utility, or related capital projects.
• Strong understanding of project lifecycle management and project controls.
• Advanced proficiency in Microsoft Excel, including:
  • Pivot Tables
  • VLOOKUP/XLOOKUP
  • Data Analysis and Reporting
  • Dashboard Creation
  • Data Validation and Tracking
• Experience with Microsoft Office Suite (Word, PowerPoint, Outlook).
• Familiarity with project management tools such as MS Project, Primavera P6, Smartsheet, or similar platforms.

Preferred Qualifications

• PMP, CAPM, or Project Management certification preferred.
• Experience working with utility distribution systems and processes.
• Knowledge of utility construction practices, permitting, and regulatory requirements.
• Exposure to GIS, work management, or asset management systems is a plus.
