What You'll Do

As the Client Care Manager, you'll play a vital role in keeping our Helena office running smoothly. Every day brings something different, from coordinating caregiver schedules to welcoming clients and supporting our healthcare team.

Schedule: Monday-Friday, 8:00 AM-5:00 PM, plus participation in an after-hours on-call rotation.

Your responsibilities include:

• Serve as the first point of contact for clients, caregivers, visitors, and phone inquiries
• Manage caregiver and client scheduling while communicating changes efficiently
• Coordinate client intakes and recertifications alongside our Nurse Program Manager
• Maintain accurate, confidential client and employee records
• Complete daily data entry, documentation, and database updates
• Support hiring efforts, new hire orientation, and Personal Care Attendant (PCA) training
• Assist caregivers with payroll questions, time corrections, and administrative support
• Order and maintain office supplies and resources
• Create employee ID badges and maintain office forms and materials
• Keep the office safe, clean, and welcoming by opening and closing the facility each day
• Communicate proactively with leadership regarding client or caregiver concerns
• Participate in the after-hours on-call rotation for Helena caregivers
• Collaborate with teammates on office projects, events, and process improvements
• Provide guidance and support to administrative staff as the office continues to grow
• Perform additional administrative duties as needed

Qualifications

• High School Diploma or GED
• Six months of administrative experience preferred
• Administrative Assistant certification is a plus
• Experience using multi-line phone systems and standard office equipment
• Intermediate Microsoft Office skills and strong computer proficiency
• Excellent organizational, multitasking, and time management skills
• Strong customer service and communication abilities
• Sound judgment and discretion when handling confidential information
• Valid driver's license and current auto insurance
• Ability to pass a criminal background check and drug screening
• Willingness to complete the Montana state-approved Personal Care Attendant (PCA) program

Preferred Experience

• Human services, healthcare, or home care experience
• Certified Nursing Assistant or RN or LPN
• Scheduling or workforce coordination
• Supervisory or team leadership experience
• Performance coaching or employee support

Physical Requirements

This position requires prolonged sitting, frequent computer and phone use, occasional walking, bending, lifting (up to 50 lbs.), and occasional driving in varying weather conditions.
