Company Overview Main Line Commercial Pools, Inc. is the leading and largest commercial swimming pool construction, service and sales company in the Mid Atlantic region with over 40 years of tradition. We are looking to expand our office team with a Payroll Specialist. Summary The Payroll Specialist is responsible for the accurate and timely administration of all payroll-related functions for the organization. The Payroll Specialist manages payroll processing, timesheet administration, prevailing wage and certified payroll reporting, payroll tax compliance, paid time off (PTO) and employee time reporting. The Payroll Specialist serves as the primary internal resource for payroll matters and works closely with employees, supervisors, Human Resources and Finance to ensure compliance with federal, state and local regulations. The ideal candidate has a strong attention to detail, a thorough understanding of payroll regulations, experience with certified payroll and prevailing wage requirements and proficiency with Human Resource Information Systems such as ADP, Paycor or similar payroll platforms. Responsibilities Payroll Administration Process weekly and bi-weekly payroll accurately and within established deadlines. Review and validate employee timesheets, pay rates, overtime, deductions, reimbursements, job cost coding and other payroll adjustments. Administer payroll-related adjustments and supplemental payments, including employee reimbursements, weekly per diem payments, and court-ordered garnishments, ensuring compliance with company policies and applicable laws. Ensure compliance with company policies, wage and hour laws, and payroll regulations. Maintain payroll records and supporting documentation in accordance with record retention requirements. Reconcile payroll reports and resolve discrepancies promptly and confidentially. Timekeeping & PTO Management Administer employee timekeeping systems and ensure accurate reporting of hours worked. Review, audit, and approve timesheet submissions for completeness and accuracy.An AA/EOE Employer. Track and maintain employee PTO balances, including vacation, sick leave, and other applicable leave programs. Communicate with supervisors and employees regarding missing, incomplete, or inaccurate time records. Assist with implementation and administration of attendance and timekeeping policies. Certified Payroll & Prevailing Wage Compliance Prepare and submit certified payroll reports in accordance with federal, state, and local prevailing wage requirements. Verify employee classifications, wage determinations, fringe benefit calculations, and applicable labor standards. Maintain records and documentation supporting certified payroll submissions. Monitor changes to prevailing wage regulations and ensure ongoing compliance. Respond to payroll-related requests associated with government-funded projects and audits. Payroll Tax & Regulatory Compliance Ensure accurate calculation and withholding of federal, state, and local payroll taxes. Coordinate payroll tax filings and maintain compliance with applicable reporting requirements. Assist with quarterly and year-end payroll activities, including W-2 processing and reconciliation. Support payroll audits and provide requested documentation to regulatory agencies or external auditors. Stay informed of changes in payroll laws, tax regulations, and reporting requirements. HRIS & Reporting Maintain employee information within HRIS/payroll systems. Process employee changes, including new hires, status changes, compensation adjustments, and terminations. Generate reports and provide analysis to management as requested. Identify opportunities to improve payroll processes, reporting capabilities, and system efficiencies. Assist with HRIS implementation, upgrades, testing, and training initiatives when applicable.An AA/EOE Employer. Employee Support Serve as the primary point of contact for employee payroll inquiries. Educate employees on payroll procedures, deductions, tax forms, and time reporting processes. Maintain strict confidentiality regarding employee compensation and personnel information. Collaborate with Human Resources and Finance to resolve payroll-related matters. Qualifications Associate's degree in Accounting, Business Administration, Human Resources, or a related field preferred. Minimum of 3 years of payroll administration experience; experience in construction, service, or prevailing wage environments preferred. Experience preparing certified payroll reports and administering prevailing wage requirements. Working knowledge of federal, state, and local wage and hour regulations. Experience with payroll and HRIS platforms such as ADP, Paycor, or similar systems. Experience working with job costing preferred. Proficiency in Microsoft Office, particularly Excel.
