Administrative Coordinator Location: San Francisco, CA Schedule: Monday-Friday, 8:00 AM-5:00 PM Position Overview: This opportunity is best suited for an experienced Administrative Coordinator, Executive Assistant, or Office Manager who thrives in a fast-paced environment and can confidently manage a broad range of administrative responsibilities while maintaining a high level of professionalism and attention to detail. Responsibilities Provide direct administrative support to department leadership, including calendar management, appointment scheduling, and meeting coordination. Coordinate meetings, training sessions, and special events, including logistics, materials preparation, attendee communication, room reservations, and setup. Process invoices, payments, expense reports, and reimbursements through Emburse. Track and process departmental requests, time records, and related administrative documentation. Prepare meeting agendas, take meeting minutes, compile reports, and draft professional correspondence. Maintain departmental databases, records, filing systems, and confidential information. Coordinate supply ordering and support inventory management activities. Assist with department projects, events, and operational initiatives from planning through completion. Serve as a liaison between leadership, staff, faculty, students, and cross-functional teams to facilitate communication and workflow. Qualifications 3+ years of experience in administrative support, executive assistance, office coordination, program coordination, or a similar role. Strong organizational skills with the ability to manage multiple competing priorities. Excellent written and verbal communication abilities. Experience supporting leadership and multiple stakeholders simultaneously. High level of professionalism, discretion, and attention to detail. Strong problem-solving skills and the ability to work independently. Customer service-oriented with excellent relationship-building capabilities. Experience processing invoices, expense reports, reimbursements, and purchasing requests. Meeting, event, and project coordination experience. Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel. Experience maintaining records, databases, and administrative reporting. Previous experience within healthcare, higher education, clinical, or professional office environments is highly desirable.
