Summary for Legal Practice Assistant:

\n

A U.S. based Law Firm is actively seeking a Legal Practice Assistant This position will be responsible for providing concierge-style, high-level assistance to a high level executive and team, which includes handling travel/visa coordination, document management, business development and other complex tasks and projects, while collaborating with other Firm departments and team members to ensure superior client service.

\n

Responsibilities for Legal Practice Assistant:

\n

\n
• Coordinate complex travel requests, including the procurement of visa-related materials and passport renewal applications
\n
• Assist with calendaring and scheduling requests, enter attorneys' time records, and submit attorneys' expense reports
\n
• Develop project strategies to ensure efficient completion of tasks and assist with Department initiatives and special projects
\n
• Consult with the Firm's support departments and internal staff at all levels, verifying the accuracy of completed work, and coordinate with other Firm offices, both domestic and international
\n
• Assist with preparing materials for presentations and conferences, as well as organizing and facilitating conference and video calls
\n
• Prepare engagement letters and new matter memos for new clients and matters, and assist with the new-business conflicts process
\n
• Assist in promoting business development, entering business activities, and coordinating with the Marketing department
\n

Requirements for Legal Practice Assistant:

\n

\n
• Bachelor's Degree required
\n
• 2+ years of related administrative experience in a law firm
\n
• Understanding or experience working with travel visa and immigration forms a plus
\n
• Proficiency with Microsoft Excel, Word, and PowerPoint
\n
• Demonstrates effective interpersonal and communication skills, both verbally and in writing
\n
• Ability to work independently
\n
• Ability to handle sensitive matters and maintain confidentiality
