Sugars End Dental , the comprehensive general dental practice of Dr. Kalee Coakley and her remarkable team, is seeking an Office Manager to add their smile and expertise to their workgroup. This position manages and oversees the administrative operations of their highly reputable practice and small, close-knit team.

After learning the “Sugars End” way of administrative patient management, this position has four general areas of responsibility: Face-to-Face Patient Communications, Personnel Management, Project Management, and Accounts Receivable.

Face-to-Face Patient Communications: Working alongside our fabulous Patient Care Coordinator, you will oversee and directly process all front office tasks such as artfully managing new patient inquiries, “check-in,” “check-out,” scheduling routine care (like patients calling for their periodic cleaning appointment), collecting monies owed, and expertly answering more questions about dentistry than you’d ever imagine! Additionally, if a patient requires complex treatment, the Office Manager reviews the case fees, payment options, explains how insurance benefits partially offset costs, and schedules their next appointment.

Personnel Management: Organizes and leads team meetings, cultivates and develops high-performing staff members, tracks time-off and vacation requests for Dr. Coakley, coordinates staff coverage efforts, and coordinates details for staff outings and celebrations.

Project Management: Oversees facility upkeep, manages projects for Dr. Coakley (especially when unforeseen issues arise), communicates changes to our website managers, assembles monthly metrics reports for Dr. Coakley, handles various tech support issues and contacts resources when support is required. Essentially, the Office Manager serves “on-point” for Dr. Coakley to manage, solve, and prevent problems.

Revenue Cycle Management: Oversees the accounts receivable, processes patient bills, places soft calls to inquire about open balances, and remits insurance claims for payment. You’ll know policies like the back of your hand and the most efficient ways to process claims for swift payment.

In summary, our Office Manager has two general areas of responsibilities. One area functions as an extension of Dr. Coakley to contribute and oversee the smooth day-to-day front office operations. The second area of responsibility joins Dr. Coakley in leadership to manage and develop the business and personnel.

Industry experience is nice, but NOT REQUIRED to apply! We value finding “the right” person. Candidates with and without dental industry experience are encouraged to apply. A qualified Office Manager candidate does not need to have prior dental experience to apply (even though that work history is quite helpful to the learning curve of this position). Your education or work experience in healthcare administration, business management, or human resource may be the perfect foundation to train into dentistry. 1. BS, BA, or MBA from an accredited university, ideally in Business, Healthcare Administration, Communications, or related major. Candidates who do not possess a bachelor’s but whose work experience has provided excellence in education and experience will be considered.
2. Initiative to “dive-right-in,” observe, study, ask questions, apply answers, “YouTube” for information, and accelerate your industry training.
3. Excellent written and verbal communication skills to effectively communicate with patients, team members, and referring offices.
4. Technical aptitude to quickly learn software and support our commitment to modern processes.
5. Quick to build rapport with team members and always be a model of professional conduct.
6. Preference to juggle many tasks and varied responsibilities with the pleasure of seeing how your efforts directly impact the success of the practice, your co-workers, and your professional growth.
7. Stable work history.
8. Highly organized, efficient history with project management.
9. Computer skills and aptitude: fast and accurate keyboarding for efficient record documentation, a mind geared towards technology, and an eager attitude to fully optimize our software.
10. Initiative to run the non-clinical aspects of the practice!

Rewarding compensation with a most ideal work schedule! This full-time, permanent position is intelligently constructed with “breathing” room for life! A classic week is Monday – Thursday. Every other week, a half-day on Friday is utilized for dedicated projects. No weekends, no evenings!
