Job Title: Special Events Assistant

Location: Washington, DC 20036

Duration: 6 Months

Job Type: Temporary Assignment

Work Type: Onsite

Shift: Part time (Monday to Thursday 24 - 26 hours per week)

Job Description:

Client is seeking a Special Events Assistant to provide high-level administrative and logistical support for commencement events.
Special Events Support
Assists with the day-to-day planning of the Graduation Fair, Commencement Ceremony and Reception events
Maintains the commencement webpages and executes the communication plans
Create the graphic images needed for communications with students, faculty and staff
Assist with event registration and guest check-in during dean's events
Create diagrams for commencement events on campus

Administration

Tracks graduation data for reporting and efforts to keep graduates on the accurate path of graduation
Leads preparation for commencement planning meetings
Schedules and manages the room reservation for all commencement-related meetings
Develops the inventory system for all commencement event day resources and supplies
Attends and recaps all pre-event meetings, walkthroughs and team meetings
Responds to graduation inquiries from students, staff and faculty
Assists with administrative tasks as assigned by the Events Director

Minimum Qualifications

High school diploma or graduation equivalent
Five years of related administrative experience

Preferred Qualifications

Three or more years of progressive event coordination and planning
Project management experience on large-scale projects, strongly preferred
Experience using 25Live/CollegeNet or similar event-scheduling software
Graphic design experience with the Canva Pro software
