IT Procurement Coordinator

We are seeking a detail-oriented IT Procurement & Contracts Coordinator to support the procurement, contract administration, vendor management, and software licensing functions of the Information Technology organization. This role serves as a key liaison between IT, Finance, Legal, vendors, and business stakeholders to ensure technology purchases, contracts, renewals, and licensing activities are managed efficiently and in accordance with company policies. The ideal candidate will bring strong organizational skills, experience coordinating procurement activities, and the ability to manage multiple vendor relationships while maintaining accurate records and reporting. Key Responsibilities Coordinate the procurement lifecycle for IT hardware, software, telecommunications, cloud services, and technology-related purchases. Process purchase requests, purchase orders, and vendor invoices while ensuring compliance with internal approval processes. Maintain and administer the IT contract repository, including tracking key contract terms, renewal dates, pricing, and obligations. Monitor software license utilization, maintenance agreements, subscriptions, and support contracts to ensure compliance and cost effectiveness. Serve as a primary point of contact for technology vendors regarding orders, renewals, licensing, and contract-related inquiries. Partner with IT, Finance, Legal, and business stakeholders to support vendor onboarding, contract reviews, and procurement activities. Track and report on technology spending, contract commitments, upcoming renewals, and procurement metrics. Assist with budget planning activities by providing purchasing and contract-related data and analysis. Support vendor performance tracking and maintain documentation related to service agreements and contract compliance. Identify opportunities to improve procurement processes, contract management practices, and cost optimization efforts. Maintain accurate procurement, licensing, and vendor records to support audits and internal controls. Qualifications Bachelor's degree in Business, Information Technology, Supply Chain, Finance, or a related field preferred. 2–5 years of experience in IT procurement, purchasing, contract administration, vendor management, or a related function. Experience working with software licensing, maintenance agreements, subscriptions, and technology vendors. Familiarity with procurement systems, contract management tools, and purchasing workflows. Strong understanding of purchase orders, invoices, contract terms, and vendor management processes. Proficiency with Microsoft Excel and reporting tools. Strong organizational, documentation, and time management skills. Excellent written and verbal communication skills. Ability to manage multiple priorities and deadlines in a fast-paced environment. Preferred Qualifications Experience supporting procurement activities within an enterprise IT organization. Knowledge of software asset management or technology lifecycle management practices. Experience working with ERP, procurement, or contract management platforms. Familiarity with technology contracts, SaaS agreements, cloud subscriptions, and vendor negotiations. Success Measures Accurate and timely processing of technology purchases and renewals. Effective management of contract and licensing records. Reduction of missed renewals and compliance risks. Strong vendor relationships and service responsiveness. Reliable reporting and visibility into technology spend and contractual obligations.
