Convention and Meetings Associate

Our nonprofit client in Washington, DC is hiring a temporary Convention and Meetings Associate. This is a hybrid position (2 days in office and 3 days remote). The Convention and Meetings Associate will provide operational and administrative support during a critical pre‑convention planning period. The role will serve as the primary operational point of contact for convention logistics. The associate will work directly with and report to the Senior Director of Convention & Strategic Operations, keeping convention workflows on track, managing vendor and venue communications, handling inbox management, and supporting scheduling and logistics tasks. Salary: $30–$35 per hour. Shift: First. Work hours: 9 AM – 5 PM. Education required: Bachelors. Responsibilities Serve as the primary operational point of contact for venue and vendor communications during the assignment period Track open action items with vendors and follow up to ensure timely responses; escalate scope, cost, or commitment questions to the Senior Director before responding Review and organize vendor contracts, service agreements, and deliverable timelines Coordinate active planning workflows including session scheduling, food & beverage and event space request forms, and print program vendor coordination Manage interest group food & beverage and event space request form submissions, track responses, and follow up as needed Support the additional slot request process, including tracking First VP decisions and coordinating the follow‑up scheduling window Coordinate the program planner and staff session schedule verification process, serving as the primary point of contact for planner questions and issues Monitor and manage the convention team inbox; triage incoming inquiries, respond independently to routine correspondence, and route or upscale as appropriate Manage convention‑related scheduling, including internal meetings, committee calls, and vendor check‑ins Maintain and update project trackers, timelines, and planning documents Organize and manage digital files, correspondence, and convention planning records Skills Vendor Management Event Coordination Operations MS Office Meeting Coordination Qualifications Years of experience: 3 years Experience level: Experienced Education: Bachelors Randstad is a world leader in matching great people with great companies.
