Job Details Executive Assistant II – SES – 48004004, Department of Education. Working Title: Executive Assistant II – SES. Salary Range: $53,917.08-$59,308.86. Responsibilities Assist the Division Director with coordination of administrative tasks and assignments that are complex. Supervise administrative staff responsible for purchasing, travel preparation, and public records requests. Maintain open communication with the Division Director, keeping them apprised of important issues. Communicate with direct reports, providing guidance and motivation, ensuring staff training and timely completion of work. Perform coaching, discipline actions, performance appraisals, and develop work plans. Approve timesheets, maintain monthly attendance and leave records for direct reports. Serve as the Division’s CorrFlow liaison, ensuring timely and professional response to correspondence. Prepare and respond to correspondence, investigate subject matter, and provide appropriate replies. Act as liaison for the Division Director regarding inter‑ and intra‑office matters, including communication with public officials, other agencies, and the public. Coordinate and maintain the Division Director’s schedule, plan meetings, and ensure meeting materials are provided. Organize travel arrangements and oversee purchasing activities for the Division Director’s Office. Monitor and track assignments made to staff, ensuring timely response. Represent the Division Director in communications with Area Directors and staff in six Division of Vocational Rehabilitation Area Offices. Represent the Director during their absence in contact with public officials, other agencies, and the public. Support the Division and Senior Leadership Teams, including preparing agenda materials, attending meetings, and tracking follow‑up assignments. Maintain records for the Division Director’s Office per records management procedures. Carry out specialized assignments, research, and provide background information on special projects and policy revision. Perform related work as required. Qualifications & Skills Knowledge of administrative principles and practices. Knowledge of office procedures and practice. Knowledge of data collection methods. Knowledge of principles and techniques of effective communication. Ability to work productively under tight timeframes and balance multiple priorities. Ability to demonstrate consideration of workload concerns of others without negatively affecting productivity and morale. Ability to collect, evaluate, and analyze data related to administrative functions such as accounting, personnel, purchasing or report writing. Ability to prepare correspondence and administrative reports. Ability to understand and apply applicable rules, regulations, policies and procedures. Ability to work independently. Ability to plan, organize and coordinate work assignments. Ability to maintain confidentiality. Ability to communicate clearly and effectively both verbally and in writing. Ability to identify problems and recommend solutions. Ability to establish and maintain effective working relationships with others. Ability to supervise, motivate and train employees.
