Position Overview

The paralegal will provide substantive litigation support to attorneys handling maritime, admiralty, insurance defense, and personal injury defense matters. This is not an entry-level position. The right candidate should be comfortable managing deadlines, drafting litigation documents, coordinating discovery, working with medical records, communicating with courts and counsel, and keeping files organized from inception through trial.

 

This is an in-person position in downtown Miami.

 

Responsibilities

Manage litigation files from inception through resolution, including pleadings, discovery, correspondence, medical records, expert materials, and trial preparation.

 

Draft and prepare pleadings, motions, notices, subpoenas, discovery requests, discovery responses, correspondence, and other litigation documents for attorney review.

 

Calendar and track deadlines, hearings, depositions, mediations, discovery responses, trial orders, case management orders, and federal/state court filing requirements.

 

Coordinate depositions, hearings, mediations, inspections, IMEs/CMEs, expert meetings, and attorney calendars.

 

Request, organize, review, and summarize medical records, billing records, liens, insurance materials, and other claim-related documents.

 

Assist with discovery management, including document collection, production, Bates labeling, privilege review support, and maintaining discovery indexes.

 

Communicate professionally with clients, courts, judicial assistants, opposing counsel, experts, vendors, medical providers, insurers, and third parties.

 

Prepare trial materials, exhibit lists, witness lists, deposition summaries, binders, chronologies, and other attorney support materials.

 

Maintain organized electronic and physical case files using the firm’s case management and document systems.

 

Support attorneys in a fast-paced litigation environment while maintaining confidentiality, accuracy, and deadline control.

 

Qualifications

• Minimum of 3 years of litigation paralegal experience required.
• Experience in maritime, admiralty, insurance defense, personal injury defense, premises liability, medical malpractice, transportation, or complex civil litigation strongly preferred.
• Experience with federal court litigation, PACER/CM/ECF, Florida E-Filing Portal, CourtMAP, and state court procedures preferred.
• Strong drafting skills for pleadings, notices, motions, subpoenas, discovery, and correspondence.
• Experience reviewing medical records, preparing chronologies, coordinating experts, and tracking litigation deadlines.
• Proficiency with Microsoft Office, Outlook, Adobe Acrobat, and case management/document management systems. Clio or similar platform experience preferred.
• Strong attention to detail, follow-through, organization, and ability to manage multiple active files.
• Professional communication skills and ability to work directly with attorneys, courts, clients, experts, and opposing counsel.
• Bilingual English/Spanish is a plus.
• Must be able to work in person in downtown Miami.

Schedule

Monday to Friday, full-time.

In-person work required.
