About Us

Christian Life Counseling, LLC is an established outpatient mental health practice located in Brookfield, Wisconsin. We are dedicated to providing compassionate, high-quality care to our community and are seeking a warm, organized, self-directed individual to join our front office team.

Position Overview

This part-time position (ranging from 12–20 hours per week) is flexible and multifaceted. You would serve as a vital link between our clients, clinical providers, and off-site billing service.

The ideal candidate possesses a confident, calm, and warm demeanor, paired with the ability to take independent initiative. Because our clinic environment can be fast-paced, you must have the capacity to maintain focus and complete tasks while experiencing interruptions and distractions.

Key Responsibilities

• Answer incoming phone calls and conduct outbound calls with a professional, calming presence.
• Provide thorough, accurate information to prospective and current clients regarding our services and obtain required intake information.
• Schedule appointments, check in clients, collect payments, and manage balances.
• Document and update client records accurately based on interactions.
• Perform insurance benefit checks, coordinate benefit information, and liaise smoothly with our off-site billing service.
• Develop and maintain a strong knowledge base of our evolving services, provider selections, and insurance guidelines.
• Maintain office organization, manage shared data, handle documentation writing, and perform light office cleaning/upkeep.
• Effectively respond to specific provider requests and maintain standard office duties indicative of a mental health practice.
• Maintain the highest level of privacy and strict adherence to HIPAA guidelines at all times.

Qualifications

• Previous experience in a healthcare, medical, or mental health office setting is a strong plus.
• Exceptional ability to build rapport and communicate warmly with clients and clinical staff.
• Strong organizational skills, ability to prioritize tasks, and excellent multi-tasking capabilities in a dynamic environment.
• Self-directed with a high level of independent initiative and attention to detail.
• Excellent written and verbal communication skills.
• Strong computer literacy and proficiency with office technology.
