Exceptional Admins (EA) is seeking an administrative professional for an opportunity with an investment firm, located in DTC/Lone Tree Area.

EA is a boutique company that focuses on placing career minded professionals with growth-minded employers. The philosophy behind the EA process is to deliver top candidates to each client with the outcome producing high-level support to the role and organization.

About the Firm

The investment firm was founded by two accomplished entrepreneurs who share a belief that some of the strongest investment opportunities exist within businesses that are already working, and have the right people, resources, and perspective to take them further. Together, the Managing Partners bring decades of experience building, acquiring, operating, and investing in businesses and real estate. Launched in 2025, the firm is actively building a diversified portfolio spanning operating companies, real estate, and a select group of thoughtfully pursued investments. The environment is entrepreneurial, highly engaged, and moves at a deliberate pace, making trust, ownership, sound judgment, and follow-through essential to how the team works. This is a small, high-caliber team where employees work in close proximity to experienced entrepreneurs, complex business decisions, and a wide range of investment activity. For the right professional, the environment offers uncommon exposure to how businesses are evaluated, built, operated, and grown, and an expectation that everyone contributes at a high level.

Hiring Goal The partners seek a professional who is well-versed in supporting both traditional objectives (i.e., scheduling) and client relations (i.e., investors). The Executive and Personal Assistant role needs someone who can work fast and with precision. The right candidate will be strongly focused on providing incredible service while managing multiple tasks that support both the partners and the company initiatives. The role is varied in focus and is highly exciting.

Role Overview

Initial Executive Support First 6-months

  • Study each Managing Partner closely to identify patterns, which will support anticipating needs
  • Heavy calendar management with email access happening between month 2 and 3
  • Work closely with House Manager and Chief of Staff
  • Learn about existing businesses and how they need each executive
  • Begin designing systems that will optimize work cadence and the management of everything
  • Shadow executives with all new business deal activities

Executive Support 65%

  • Support the two Managing Partners (the split is not always 50/50)
  • Heavy calendar management
  • Be informed on all activities to effectively prioritize workflow
  • Proactively prioritizing commitments, resolving scheduling conflicts, and ensuring their attention remains focused on the highest-value activities
  • Monitor communications and help identify items requiring immediate attention or follow-up
  • They loosely use Teams, they text heavily (which needs to change to less, while increasing the use of Teams)
  • Schedule and prepare for internal and external meetings (i.e., conference calls, business dinners, portfolio visits, and company events)
  • Prepare agendas, background information, financial materials, decks, and other meeting-related resources
  • Attend selected meetings, document decisions and track action items
  • Take meeting minutes, becoming master of takeaways and guide of follow through
  • Draft, review, organize, and distribute professional correspondence on behalf of the Managing Partners
  • Streamline and manage to-dos to meet deadlines
  • Anticipate upcoming needs, deadlines, meetings, and potential conflicts before they require intervention
  • Help with presentation prep
  • Serve as a dependable point of coordination among the Managing Partners, internal team members, portfolio company leaders, investors, professional advisors, and outside partners
  • Manage and book travel / accommodation (domestic)
  • Prepare itineraries and coordinate full cycle logistics
  • Maintain and track expense reporting

Investment and Portfolio Support 10%

  • Organize investment documents, reports, presentations, financial information, and confidential records
  • Track deadlines, deliverables, approvals, signatures, and follow-up items associated with transactions and portfolio companies
  • Coordinate with attorneys, accountants, lenders, operators, consultants, property managers, and other professional partners

Personal 25% (Mixed between both Partners)

  • Manage and back-up to various activities: Car registrations, annual Insurances, annual
  • Arrange seasonal tire change swap out/oil changes, bi-yearly
  • Help with light bill paying
  • Setting up Instacart for weekly grocery deliveries
  • On occasion, schedule car(s) washes or take to get washed
  • Assist the Managing Partners with personal scheduling, reservations, appointments, household coordination, and family-related logistics
  • Coordinate personal travel, events, gifts, memberships, service providers, and special requests

Desired background and attributes Candidates will be considered in totality of their skills and experience: Career experience fits 85% of the responsibilities outlined above Industry experience in private equity, real estate, or financial services, required Has supported a multi-business founder, required Professional demeanor with excellent verbal and written communication skills, required UHNW experience, desired Savvy with Google Workspace and Microsoft Office Experience with Zoom Known for being a self-starter Skilled in leveraging technology, especially AI, e.g., Claude Is comfortable working independently with little supervision References would describe you as nimble, adaptable, and someone having an entrepreneurial mindset

Company Offerings

Working Hours : Onsite, (at times role is 24/7, especially in year one) Salary : $115k to $150k, annual Bonus : For consideration 401(k) : Coming Soon (end of year) Time Off : 3-weeks a year, no accrual Holidays : New Year's Day, MLK Day, Memorial Day, Independence, Labor Day, Thanksgiving, the Friday after Thanksgiving, Christmas Eve, and Christmas Day. Healthcare : Coming Soon (end of year); currently a monthly stipend
