Job Title: Client Engagement & Outreach Coordinator

Location: Walnut Creek, CA
Pay Range: $23-$25/hr DOE
Work Schedule: Approximately 16 hours per week to start; schedule to be established upon hire. Monthly hours may vary.
Employment Type: Part Time
Work Arrangement: Primarily Onsite with occasional travel to events and client locations.

What You'll Be Responsible For

• Serve as the welcoming first point of contact for incoming inquiries by phone, email, website forms, and other communication channels.
• Connect with prospective clients and referral sources to gather information and assist with appointment scheduling.
• Monitor voicemail messages and online inquiries daily to ensure timely follow-up and outstanding customer service.
• Maintain accurate CRM records, contact databases, and outreach activity documentation.
• Research requested information and relay relevant details to organizational leadership.
• Process incoming mail and highlight important items requiring attention.
• Coordinate calendars, schedule meetings, and assist with meeting preparation and follow-up activities.
• Support social media, website updates, blog content, and other communication initiatives.
• Review, edit, and organize marketing materials, publications, workbooks, and outreach collateral.
• Assist with community outreach efforts, networking events, and relationship-building activities.
• Maintain organized filing systems, marketing resources, and administrative records.
• Contribute ideas and ongoing learning that support organizational goals and growth.

To Be Successful in This Role, You'll Bring

• REQUIRED:  Previous 2+ years’ experience in customer service, client relations, administrative support, outreach coordination, marketing support, or a related field.
• R EQUIRED : Intermediate or advanced proficiency with Microsoft Outlook, Word, and Excel.
• REQUIRED: Experience using social media platforms and digital communication tools.
• Associate's degree with relevant experience or Bachelor's degree preferred.
• Interest in estates, trusts, elder care, nonprofit organizations, or professional services environments.
• Strong verbal and written communication skills with a polished and professional demeanor.
• Ability to learn new software platforms and adapt to changing priorities.
• Excellent organizational skills, attention to detail, and follow-through.
• Valid driver's license, acceptable driving record, and automobile insurance.
• Ability to successfully complete background and reference checks.
