Billing Specialist / Administrative Assistant
Location: Homestead, FL
Salary: Starting at $45,000 per year
Position Overview
We are seeking a detail-oriented and organized Billing Specialist / Administrative Assistant to support daily billing, invoicing, accounts receivable follow-up, and administrative operations. The ideal candidate will have strong data-entry skills, excellent attention to detail, and the ability to manage invoices, customer records, and vendor payments accurately and efficiently.
Key Responsibilities
Prepare and send accurate, timely client invoices using Halo, QuickBooks Online (QBO), and Flexpoint.
Calculate and apply appropriate client discounts to invoices.
Follow up with clients weekly regarding overdue and outstanding invoices to encourage timely payments and minimize outstanding balances.
Receive, review, and enter vendor invoices into Halo and QBO.
Assist with invoice accuracy, reconciliation, and maintaining accurate financial records.
Enter and update customer information in Halo, including company names, addresses, contact details, resale tax certificates, and dealer documentation.
Maintain organized billing records and ensure customer documentation is current and accurate.
Provide general administrative support as needed.
Qualifications
Previous experience in billing, accounts receivable, invoicing, or administrative support.
Proficiency with accounting software; experience with QuickBooks Online is a plus.
Strong data-entry skills and attention to detail.
Excellent organizational, time-management, and follow-up skills.
Comfortable communicating with clients regarding invoices and outstanding balances.
Ability to manage multiple tasks while maintaining accuracy and meeting deadlines.
Compensation
Starting salary of $45,000 per year, depending on experience.
