BHSSC is seeking a Program Assistant to provide administrative, operational, and logistical support for the Office of Family Nutrition Services. This position helps coordinate program resources, inventory, procurement, travel, training, communications, and outreach activities while working closely with state office staff, local agencies, contractors, and external partners. The Program Assistant plays an important role in keeping program operations organized, accurate, and running efficiently.

Black Hills Special Services Cooperative (BHSSC) is a public entity that is an educational cooperative under the State of South Dakota. BHSSC is comprised of five divisions dedicated to aiding school districts, individuals, and the communities.

Wage-
$24.00-$26.00 per hour

Job Description-

• Provide administrative and program support, including preparing and distributing policies, procedures, program memos, meeting materials, and other documents.
• Manage the SDWIC email inbox by monitoring inquiries and routing questions or requests to the appropriate staff.
• Coordinate travel, conferences, meetings, and trainings, including scheduling, lodging, reimbursement documentation, materials, and logistical arrangements.
• Coordinate procurement and ordering of brochures, outreach materials, supplies, direct formula, and other program resources in collaboration with administrative and fiscal staff.
• Manage program inventory, including eWIC supplies, program scales, R-Center materials, outreach items, and clinic inventory, while maintaining accurate records and supporting contractual inventory reviews.
• Monitor supply levels and distribution to counties and local agencies and coordinate surplus inventory redistribution or disposal as needed.
• Perform daily EBT reconciliation activities and serve as a point of contact for non-technical EBT supply and administrative issues.
• Coordinate WOW Van program logistics, including maintaining the outreach calendar, scheduling vehicle maintenance, coordinating driver training schedules, and ensuring vans are equipped with necessary materials.
• Support staff onboarding and training activities by preparing maps, worksheets, training packets, communication notices, and other administrative materials.
• Support program operations and special projects by providing general office assistance and coordinating assigned initiatives for the Office of Family Nutrition Services.
• Other duties as assigned

Job Qualifications-

• High school diploma or equivalent.
• Strong organizational skills with the ability to manage multiple tasks, deadlines, and priorities.
• Ability to maintain accurate records and handle inventory, ordering, reconciliation, and other detailed administrative processes.
• Proficiency with Microsoft Office and the ability to learn and use program-specific software and systems.
• Strong written and verbal communication skills and the ability to communicate effectively with staff, agencies, contractors, and external partners.
• Ability to maintain confidentiality and handle sensitive program and employee information appropriately.
• Ability to lift 50 lbs.
• Valid driver's license and ability to travel as needed for program-related activities.
