About The Opportunity We are recruiting for a detail-oriented and organized Building Service Proposal Coordinator to join our Building Services team in Chandler, AZ. This role is ideal for someone with HVAC or mechanical systems knowledge who enjoys coordinating service projects, preparing proposals, working with customers, and supporting operations from proposal through completion. Job Description Building Service Proposal Coordinator Chandler, AZ – In-Office Position $35-$40/hour DOE Full-Time Benefits Medical Insurance Dental Insurance 401(k) with Company Match Paid Time Off (PTO) Key Responsibilities Review project data to determine labor and material requirements. Prepare itemized estimates, proposals, and submittal packages for customer approval. Assist with dispatch coordination by scheduling service work orders and preparing customer cost breakdowns. Manage proposal activities including pricing, scheduling, material ordering, and customer follow-up. Review refrigerant market pricing and maintain customer billing rates, including weekly R22 monitoring and quarterly rate recommendations. Prepare cost estimates to support planning, scheduling, purchasing, vendor selection, and bid preparation. Analyze cost data and conduct studies to improve efficiency and identify cost‑saving opportunities. Communicate with customers, vendors, subcontractors, and internal teams to resolve issues and support project success. Maintain accurate records and documentation throughout the proposal and service process. Qualifications Basic understanding of HVAC systems and mechanical equipment. Knowledge of general office procedures and record‑keeping practices. Strong mathematical and analytical skills. Proficiency with computers and business software applications. Excellent organizational skills and attention to detail. Ability to manage multiple priorities and follow projects through completion. Strong communication and customer service skills. Preferred Experience Experience in HVAC, mechanical contracting, service coordination, estimating, dispatching, or proposal preparation. Familiarity with service work orders, job costing, and vendor coordination.
