Volunteer Coordinator On Site Position JOB ANNOUNCEMENT & DESCRIPTION Sacred Heart Community Service (SHCS), located in San José, CA, seeks a community-oriented Volunteer Coordinator to manage the organization's volunteer outreach and engagement efforts. This position is a part of the Community Resource Development team, which welcomes, orients, and connects community members with programs and opportunities for involvement. The ideal candidate is self-directed, flexible, and brings strong communication, administrative, and customer service skills — along with a genuine passion for our mission – to build a community free from poverty. For more than 60 years, SHCS has been one of the leading institutions addressing poverty in Santa Clara County through a strategy that combines meeting basic needs, offering tools for self-sufficiency, and providing opportunities for the wider community to get involved and take action for systemic change. The Volunteer Coordinator engages hundreds of community members each day, supporting programs that inspire individuals and organizations to join in the vital work of SHCS. They guide volunteers in their interactions with community members to ensure everyone is treated with dignity, compassion, and respect, while providing general support across the Community Resource Development team. This position requires occasional Saturday hours based on program needs. RESPONSIBILITIES AND DUTIES Program Coordination (55%-65%) Staff the Volunteer Reception Desk regularly, maintaining a friendly and welcoming environment. Manage the volunteer database, including scheduling, recruitment activities, volunteer skills, availability, and completed assignments. Develop day-to-day volunteer schedules and assign volunteers to appropriate activities, programs, and events. Recruit volunteers through multiple channels, including databases, email, social media, community outreach, and partner relationships. Coordinate teams of volunteers for large-scale events and initiatives. Build and maintain relationships with volunteers to ensure they are well-placed, supported, and have a positive experience. Maintain Volunteer Office communications and support coordination with internal departments and program areas. Support the development, implementation, and reporting of member and volunteer databases, including registration, updates, and surveys. Volunteer Engagement and Orientation (20%–25%) Welcome, orient, and support volunteers in understanding SHCS's mission, programs, expectations, and culture. Coordinate the scheduling of orientation sessions to ensure an adequate and consistent volunteer pipeline. Facilitate and staff Volunteer Orientation sessions, creating a welcoming and informative experience for new volunteers. Update orientation presentations and materials to reflect current SHCS programs and initiatives. Track and record volunteer orientation attendance in the volunteer database. Follow up with newly oriented volunteers to support their transition into active roles and ensure they feel connected to the organization. Mentor and guide volunteer leaders, fostering a culture of dignity, compassion, and respect. Support volunteers in their interactions with community members to ensure all participants are treated with dignity and respect. Leadership and Community Representation (20%–25%) Represent the Volunteer Office at agency-wide event planning sessions and internal meetings. Serve as an ambassador for SHCS at external community events and with partner organizations, promoting the organization's mission and programs. Support program areas and agency special events as needed. Maintain open communication with warehouse and program staff to ensure volunteer schedules are accurate, and volunteers have a positive experience across all program areas. Ensure the organization's mission, programs, and initiatives are clearly and consistently communicated to volunteers, staff, and the wider community. Perform other duties as assigned. REQUIRED QUALIFICATIONS AND/OR EXPERIENCE EQUIVALENT: Strong commitment to our vision of a community united to ensure that every child and adult is free from poverty. Bilingual/Biliterate in English and Spanish. Bachelor's degree in human services, social work, or a related field, or 2-3 years of equivalent work experience in customer service, volunteer coordination, or training. Computer literacy with proficiency in database systems, Microsoft Office or Google Workspace. Superior verbal, written, and presentation skills. Outstanding customer service skills. Ability to work flexibly under pressure in a fast-paced and dynamic environment. Ability to work both collaboratively in a team setting and independently with limited supervision. Detail oriented, highly organized, and able to multitask and respond quickly in a busy environment. Availability to work on occasional Saturdays based on program needs. PHYSICAL REQUIREMENTS: Ability to maintain a stationary position and use a computer for 6-8 hours per day. Ability to stand for extended periods during orientation sessions and events. Ability to walk between program areas, warehouse, and office spaces throughout the workday. Ability to reach, bend, or stoop when organizing materials or supplies. Ability to set up and break down tables, chairs, and event materials as needed. Ability to move boxes weighing up to 25 pounds across the office as needed. PREFERRED QUALIFICATIONS AND/OR EXPERIENCE EQUIVALENT: Experience with Salesforce Databases. REPORTING RELATIONSHIP: The Volunteer Coordinator position reports to the Community and Corporate Partnerships Manager. COMPENSATION: This is a part-time (20 hrs. per wk.), non-exempt position that pays $29.71 per hour. This position is represented by the SEIU, Local 521 bargaining unit.
