Executive Assistant /Paraplanner for Financial Adviser Office - PacNorth

We are seeking a versatile, organized, and highly capable professional to join our team as an Executive Assistant / Paraplanner. This hybrid role is ideal for an individual with moderate to advanced experience in a financial services, accounting, or law firm. The successful candidate will help manage daily operations while also providing high-level technical and administrative support to our financial advisors and clients. Paraplanning and Analytical Support Financial Plan Preparation: Gather and analyze client data to prepare comprehensive financial plans and reports using financial planning software. Estate and Tax Planning Support: Collaborate with advisors and external professionals (CPAs, attorneys) on integrated tax and estate planning. Documentation and Compliance: Prepare suitability reports, client presentations, and ensure all client files and documentation are compliant with industry regulations. Client Interaction: Serve as a key point of contact for clients for data gathering, information clarification, and general inquiries, ensuring a professional and caring experience. Office Management and Administration Office Operations: Oversee the day-to-day operations of the office and workflows to increase efficiency and track cases to completion. Scheduling: Serve as the main point of contact for clients scheduling meetings. Administrative Support: Handle core administrative tasks such as data entry into the CRM system, ensuring data is accurate and up-to-date, and processing client paperwork (e.g., account openings, money movements). Education A degree or a professional designation in Finance, Accounting, Law, or Business Administration; or the current pursuit of a degree/designation is required. Experience Work experience in a financial services firm, public accounting office, or estate planning law firm is preferred. Skills Professional attention to detail and organizational skills, with the ability to manage multiple projects and deadlines. Strong written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) A high level of integrity and ability to maintain strict confidentiality. Knowledge of industry regulations and compliance standards is extremely beneficial. Licenses and Certifications CFP, CPA, Attorney license/certification/experience is a significant asset.
