Hopedale Medical Complex is seeking a friendly, organized, and customer-focused Physicians' Office Receptionist to join our Tremont Office. As the first point of contact for our patients, you'll play an essential role in creating a welcoming experience while coordinating appointments, assisting providers, and supporting daily office operations across our Medical Arts office and satellite clinics.

Position Summary

The Physicians' Office Receptionist provides exceptional customer service while coordinating patient scheduling, registration, and front office operations for the Tremont office and occasionally assists at the Hopedale Medical Complex and satellite clinics. This position serves as the first point of contact for patients and visitors and plays a vital role in ensuring efficient clinic operations through accurate scheduling, communication, and administrative support.

Flexibility to assist at satellite clinics and occasional Saturday hours is required.
Essential Responsibilities

• Welcome patients and provide outstanding customer service from check-in through check-out.
• Answer incoming telephone calls and assist patients with scheduling, messages, and general inquiries.
• Schedule appointments accurately according to provider availability and appointment type.
• Update patient demographic and insurance information.
• Collect copays and other payments at the time of service.
• Prepare daily schedules and patient documentation.
• Process laboratory and outpatient service requisitions.
• Review encounter forms for accuracy and appropriate coding prior to billing.
• Coordinate follow-up appointments and referral scheduling.
• Assist with medical records, filing, scanning, and document management.
• Order and maintain office supplies.
• Complete daily reconciliation and end-of-day procedures.
• Support physicians, nursing staff, and satellite clinic operations as needed.
• Maintain patient confidentiality and comply with HIPAA regulations.
• Perform other duties as assigned.

Qualifications

• High school diploma or equivalent required.
• Previous medical office or healthcare customer service experience preferred.
• Excellent customer service and interpersonal communication skills.
• Proficiency with Microsoft Office and basic computer applications.
• Strong organizational skills with the ability to multitask in a fast-paced environment.
• Ability to remain calm and professional under pressure.
• Knowledge of medical terminology and ICD coding preferred.
• Willingness to travel between Tremont and satellite clinics located in Atlanta, Delavan, Mackinaw, Manito, and Hopedale
• Availability to work occasional Saturdays.

Employment with Hopedale Medical Complex is contingent upon successfully passing a federal and state background check and a pre-employment drug and alcohol screening. Testing includes both illegal and legally obtained substances, including cannabis (THC).

Pay Range: $16 - $17 per hour
