Administrative Assistant / Dispatcher- Stuart Location About Neat & Repeat Cleaning Neat & Repeat Cleaning is a well-established cleaning company with offices in Stuart and Palm Beach Gardens. We are currently hiring for our Stuart office, which supports more than 25 professional cleaning technicians. We are known for excellent service, high standards, and a positive, supportive team culture. We are looking for an energetic, highly organized Administrative Assistant and Dispatcher who enjoys staying busy and keeping clients, schedules, and field teams on track. This is an active, fast-paced office environment. Phones ring, schedules change, clients need assistance, technicians stop by, and priorities can shift throughout the day. The right person will be comfortable juggling multiple responsibilities while remaining calm, friendly, and organized. What You'll Do Build and maintain full, efficient cleaning schedules using MaidCentral while minimizing technician drive time. Adjust schedules when cancellations, call-outs, or unexpected changes occur. Answer phones and assist current clients with scheduling and service needs. Confidently handle inbound sales calls, answer questions about our services, prepare online quotes, and follow up with leads. Schedule in-person estimates for our Client Services team when needed. Coordinate technician visits for supply restocking, short training sessions, and team activities. Manage supply inventory and place orders before shortages occur. Maintain accurate employee documentation in BambooHR. Assist with employee reviews, HR documentation, client follow-up, and service notes. Help brainstorm social media ideas and occasionally assist with filming fun office or team content. Explore ways to use AI for research and repeatable administrative tasks. Suggest fresh ideas to make our systems and office more efficient. You'll Be Great at This Job If You: Are fluent in English and Spanish. Can juggle multiple tasks without losing track of the details. Stay calm and solution-focused when plans change. Are comfortable speaking with potential clients, discussing services, providing quotes, and following up to help turn leads into customers. Have strong organizational, prioritization, and problem-solving skills. Provide warm, professional customer service by phone, text, email, and in person. Take ownership of your responsibilities and follow through. Enjoy working in a fast-paced environment where no two days are exactly the same. Are comfortable contributing creative ideas and participating in occasional social media content. Are curious about AI and excited to learn how technology can make everyday work easier. Helpful Experience Dispatching, scheduling, or route coordination. Inbound sales, online quoting, or lead follow-up. Residential cleaning or home service industry experience. Administrative, customer service, or office management experience. Small-team leadership, coaching, or training. Social media, content creation, or AI tools. Experience is helpful, but curiosity and a willingness to learn are more important.
