Marketing & Administrative Coordinator

Pay: $27.65 - $33.35 per hour Schedule: Day Shift Availability

Professional Staffing (APS) is recruiting for a client seeking an experienced Marketing & Administrative Coordinator to support its Business Development, Marketing, and Communications teams. This role coordinates marketing projects, communications, schedules, vendors, meetings, and administrative activities. The Coordinator works with internal teams and external partners to keep projects organized, accurate, and on schedule.

Key Responsibilities:

• Coordinate marketing and communications projects using Asana.
• Track project timelines, deadlines, tasks, and deliverables.
• Follow up with internal teams, vendors, and external partners to keep projects on schedule.
• Identify delays or roadblocks and communicate them to department leadership.
• Coordinate calendars, meetings, agendas, materials, action items, and follow-up.
• Manage routine internal marketing requests, approvals, updates, and materials.
• Provide administrative support to Business Development, Marketing, Communications, and Liaison teams.
• Track invoices, purchase orders, vendor expenses, advertising commitments, and related documentation.
• Obtain vendor quotes, coordinate approvals, and place orders.
• Maintain organized department records, resources, and digital files.
• Proofread marketing materials for accuracy, completeness, and brand consistency.
• Maintain confidentiality when handling sensitive information.
• Perform other related duties as assigned.

Qualifications:

• Associate degree in Marketing, Communications, Business Administration, or a related field preferred; equivalent experience may be considered.
• 2-4 years of experience in marketing coordination, project coordination, administrative coordination, executive support, or a related role.
• Experience in marketing, communications, healthcare, nonprofit, agency, or professional services preferred.
• Strong organizational, time-management, and multitasking skills.
• Excellent attention to detail and accuracy.
• Proficiency with Asana or similar project-management software.
• Advanced proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
• Excellent written and verbal communication skills.
• Strong follow-through with the ability to manage multiple projects and deadlines.
• Strong interpersonal and collaboration skill
