Fence Direct is one of Florida's leading fence companies, serving residential, commercial, and wholesale customers throughout the state. We're hiring a Scheduling Coordinator to own install scheduling end to end — from permit approval through the day the crew shows up.

This is the job where the plan meets reality. Crews call out. Materials run short. Florida weather does what Florida weather does. Your job is to see it coming, fix it before the customer feels it, and keep everyone straight when it can't be fixed.

What You'll Own

Scheduling & crew/material coordination — Schedule every install to the right day, time slot, and installer. Schedule permit inspections when required. Confirm with the warehouse that materials are pulled and available ahead of the install date. Flag conflicts and shortages before they hit a scheduled job, not after. Coordinate with the warehouse on order priority for jobs nearing their date.

Customer communication — Answer incoming calls fast and return missed calls faster. Update every active customer in the scheduling stage at least once a week — crew assigned, materials confirmed, date locked — so they never have to call and ask. Communicate calmly and accurately when there's a delay. Route sales questions to the right person instead of answering them yourself.

Problem resolution — Field and document scheduling issues: installer no-shows, crew reassignments, material delays. Coordinate rescheduling around crew, material, and weather. Be the single point of communication between installer, customer, and sales rep when a job in progress goes sideways. Escalate any deviation from the signed contract before work proceeds — scope, location, and material changes are not yours to approve, and we would rather you ask.

How Success Is Measured

Incoming calls answered promptly and missed calls returned within minutes — we track both. A customer update at least weekly on every active job in scheduling. Jobs scheduled per week, against a target agreed with you at hire. Scheduling accuracy — correct crew, materials, and timing, no rework — 95%+.

What We're Looking For

Required

• Fluent in English and Spanish. You'll be on the phone all day with homeowners and installers in both languages, including delivering news people don't want to hear.
• 2+ years in scheduling, dispatch, service coordination, or high-volume customer service
• Able to work through constant interruption without losing track of what's scheduled
• Calm under pressure — a real share of your calls are about something that went wrong
• Organized enough to hold dozens of moving jobs in a system, not in your head
• Solid computer skills; comfortable in a CRM and scheduling software

Preferred: fencing, HVAC, plumbing, roofing, or other trade and home services dispatch; permit and inspection scheduling; Housecall Pro; experience coordinating field crews.
