Overview of Responsibilities Leads the Records department, including maintaining member records and information management for MSGCU. Uses inventory management software, application database, and associated hardware to control electronic and physical management of MSGCU records. Researches new products/procedures relating to the retention, storage, and retrieval of data. Essential Duties and Responsibilities Serves as MSGCU’s subject matter expert regarding member records and information management storage services using analysis, audit, and application technology to ensure adherence with MSGCU’s policies and procedures, inventory controls and reporting, and disaster recovery process. Applies knowledge of the business, trends, and future landscape of records management and retention to advance MSGCU’s goals. Effectively manages the Records team to deliver a superior internal and external member experience by achieving desired service levels when fulfilling service requests related to hard copy and electronic records storage retrieval. Anticipates and balances the interests of multiple stakeholders by understanding their requirements, expectations, and needs. Acts fairly despite conflicting demands of stakeholders. Makes good and timely decisions using sound rationale, available data, and relevant or important factors to ensure the overall effectiveness of the Records function. Establishes policies and procedures for document development, retention, and disposition. Provides advice and consultation to other areas of the organization regarding records management. Manages daily workflow and directs the Records’ team’s work by providing clear direction and accountabilities, removing obstacles, delegating, and empowering where appropriate. Oversees the preparation and processing of standardized legal forms and documents, lien releases for paid in full loans, as well as incoming and outgoing mail. Plans, aligns, and prioritizes work in order to meet organizational goals and other commitments, sets objectives to align records management industry trends with broader organizational goals; breaks down objectives into appropriate initiatives and actions. Optimizes work processes by identifying and creating the processes necessary for records management success. Seeks ways to improve processes by combining activities into efficient workflows and serves as an effective business partner with a focus on continuous improvement. Ensures accountability by holding self and others accountable for the overall quality of records management process by establishing clear responsibilities and processes for monitoring work and measuring results. Builds networks and consults with a wide network of internal and external connections (vendors); connects the right people to accomplish goals; works through formal and informal channels to build broad‑based relationships and support. Partners with Enterprise Risk Management to ensure regulatory compliance pertaining to record retention and elimination of outdated and/or confidential documents. Effectively manages Records Department’s vendor relationships to ensure delivery to expected standards, compliance with MSGCU’s procedures, and cost effectiveness. Education and Experience Requirements Bachelor's degree in Business Administration, or related field required; and 5 years of related, progressively more responsible work experience, preferably within a financial institution to gain the necessary background to manage the records department; and 3 years of leadership experience. Working Conditions Office and branch location environment with little discomfort from noise, extreme temperature, dust, or other factors. Occasionally required to travel throughout the MSGCU's service area as business needs require. Exposed to potentially hazardous conditions, such as robbery. Receives detailed instructions and security procedures on an annual basis to minimize risk. This work involves sitting most of the time with brief periods of walking or standing and may occasionally require lifting and/or moving up to 25 pounds. Base salary starts at $79,600 / year Medical, dental and vision on your first day!
