Sales and Services Asst-MCC

Job Description

This position will provide administrative support to Sales and Event Services, as needed. The role will be responsible for performing a variety of administrative duties and providing support to ensure the efficient operation of the assigned departments.

Responsibilities:

• Provide daily administrative assistance to Sales & Event Managers, Director of Event Services, and Chief Sales Officer
• Prepare and maintain sales department weekly, monthly, quarterly, and annual reports as required by CSO
• Prepares and maintains all travel and out-of-town expense reporting for the Sales Department
• Maintains office supply inventory, copy room, and electronic event files for sales events.
• Provides administrative support to the Events Team and Guest Experience Manager.
• Assists Guest Experience Manager/Sustainability Manager with sustainability tracking and reporting
• With the Director of Event Services' guidance, schedules, sends invitations, and maintains RSVPs to Events Services events. (pre-event meetings, partner reception, and site visits)
• Prepares agendas for and sets meeting rooms for group pre-event meetings
• With content provided by the Director of Event Services, updates Event Services procedure manuals and Music City Center Event Planning Guide
• Contacts other meeting venues to collect historical information for upcoming groups at MCC
• Schedule meetings, take notes for meetings, and provide follow-up correspondence
• Performs additional duties as assigned

Qualifications:

• One (1) to three (3) years of administrative, office support, or operations experience preferred.
• Excellent verbal and written communication skills with a professional and courteous demeanor.
• Strong customer service and interpersonal skills with the ability to interact effectively with employees, visitors, and vendors.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
• Ability to prepare reports, maintain records, and manage confidential information with discretion.
• Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
• Detail-oriented with a high degree of accuracy in data entry, recordkeeping, and document preparation.
• H.S. Diploma or GED preferred
