Summary of Position:

The Mail and Records Clerk is responsible for managing the flow of incoming and outgoing mail, ensuring efficient mail distribution, and supporting medical records management. This role provides essential backup support to the records team, ensuring the timely and accurate processing of documents, mail, and records requests. The ideal candidate is detail-oriented, organized, and capable of managing multiple tasks in a fast-paced environment.

Essential Duties:

Mail Processing and Distribution

  • Retrieve mail from designated locations; a valid driver's license is required.
  • Sort, open, and distribute incoming mail and packages to appropriate departments.
  • Prepare and send outgoing mail, including certified and priority mail, as needed.
  • Manage bulk mailings and other special mailing projects as directed.

Medical Records Support

  • Serve as backup for medical records requests and fax box duties, ensuring compliance with confidentiality policies and regulations.
  • Assist in scanning, filing, and organizing patient records within the electronic medical records (EMR) system.
  • Respond to requests for medical records from authorized personnel in a timely and secure manner.

Data Entry and Documentation

  • Accurately log and track mail and records activities, maintaining up-to-date records for auditing and compliance.
  • Assist in updating and maintaining databases and filing systems for easy retrieval and reference.

Customer Service and Communication

  • Respond promptly and courteously to inquiries regarding mail and records.
  • Communicate with other departments regarding mail or record-related issues to ensure efficient workflow.

Compliance and Confidentiality

  • Follow organizational and regulatory guidelines for confidentiality, privacy, and data protection.
  • Adhere to HIPAA guidelines when handling sensitive medical records and information.

Qualifications:

  • Education : A high school diploma or equivalent is required; additional education or certification in records management or office administration is a plus.
  • Requirements : Must be at least 18 years old and possess a valid driver's license.
  • Skills :
    • Strong attention to detail and organizational skills.
    • Basic proficiency with Microsoft Office Suite and familiarity with electronic record-keeping systems.
    • Ability to handle confidential information with discretion.
    • Strong communication skills and ability to work independently and as part of a team.
